The International Center of Photography (ICP) is the world’s leading institution dedicated to photography and visual culture. The Manager, Events & Corporate Sponsorships is a proven fundraising professional and vital part of the development team. The manager works closely with the Associate Director, Events & Corporate Partnerships, to provide support for ICP special events and manage external space rental events to help ICP meet its goals for support. The manager also provides support for corporate membership and sponsorship relationships. The manager works closely with the Associate Director, Events & Corporate Partnerships, the Development team, and staff to anticipate priorities, respond to opportunities and identify project needs, manage deadlines, and build strong relationships with stakeholders.
The ideal candidate will be a dedicated, detail-oriented, highly organized professional with outstanding interpersonal communication skills and a passion for creating and realizing dynamic events in a fundraising context.
This position requires frequent evenings and occasional weekends.
Essential Functions and Duties:
Fundraising Event Planning and Production
Provide support to the Associate Director, Events & Corporate Partnerships for ICP’s internal fundraising events by the following:
- Maintain event financial reports and donor commitments, budgets, guest lists, seating lists, and seating materials; propose and implement recommendations to improve tracking systems;
- Ensure creative, high-quality and cost-effective event services by obtaining competitive vendor bids and vendor relationship management;
- Support effective benefit committees and the participation of staff, committee members, Trustees and other volunteers in events; assist with VIP management and participation including travel arrangements and speaking engagements;
- Coordinate venues, entertainment, décor, production, menu planning, auction items, gift bags, etc.;
- Coordinate event print schedules and printed materials, i.e., invitations, programs, signage, name tags, seating cards, etc.;
- Support event logistics, staffing, and volunteer assistance, including recruitment and training;
- Communicate with internal and external parties on event matters and liaise with marketing staff to promote visibility of events;
- Manage correspondence, documents, and mailing relating to events;
- Liaise with on-site event management, production, load-ins, and close-down for events.
- Provide additional support including preparing and submitting event check requests, archiving event materials, storage and inventory of event supplies, shipping, and other duties, as needed.
External Space Rental Events:
External Space Rental Events:
- Receive and process rental space inquiries;
- Liaise between ICP and corporate/rental clients and vendors;
- Schedule and provide walkthrough of ICP’s rental spaces;
- Onsite execution of rental events;
- Manage internal communications and logistics as needed
ICP Special Events
- Provide support for other (non-fundraiser/special events at ICP, including Late Night ICP, special public programs, and staff events when necessary
- Support logistics of ICP exhibition openings
Corporate Sponsorship:
- Support Associate Director in ICP’s corporate membership program;
- Schedule corporate funder and prospect meetings and presentations for key staff and help prepare meeting materials including proposals, budgets and reports;
