Job Description:
Project Coordinator, Office of Scientific Research Management
We are looking for a Project Coordinator to join our team! Reporting directly to the Project Manager and working closely with the Director, Research Initiatives within the Office of Scientific Research Initiatives, the Project Coordinator will coordinate and support institute-wide projects, initiatives and programs, such as the Starr Foundation Program for Discovery Science, internal funding opportunities, institutional metrics and reporting, and strategic communication.
Role Overview:
· Under some supervision, coordinate all aspects of assigned projects. Develop project plans defining deliverables and resources required for successful and seamless execution. Manage tasks to achieve established goals and escalate issues/concerns to project leadership. Provide timely updates to the project leader(s).
· Sustain project work flows and timelines, ensuring deadlines and milestones are met. Responsible for following up on action items identified by project leaders.
· Adapt to changing demands and proactively anticipate how changes to the plan will impact project goals and timelines.
· Provide administrative support and coordination for assigned projects. Perform administrative duties for meetings including preparing agendas, minutes, coordinating and/or developing appropriate meeting materials, and ensuring distribution to meeting participants. Coordinate travel and event planning and reconcile related expenses.
· Ensure that results are reported clearly and concisely per project guidelines (e.g., Excel spreadsheet, presentation, summary report, etc.). Review and analyzes data arising from the projects, write and/or edit various documents, reports and presentations (i.e., meeting and conference materials, minutes, periodic updates, and project summaries) for assembly and dissemination to the appropriate parties. Develops content for presentations/slides as assigned by leadership.
Key Qualifications:
· 4-7 years of experience in an administrative setting.
· The ability to work proactively & independently and follow through on tasks and projects.
· Advanced Microsoft Office software skills (Word, Excel, PowerPoint, Outlook) and relevant office applications. Experience with both PC and Mac software preferred.
· Outstanding communication & interpersonal skills

· Excellent communication skills and the ability to interact across all levels in a confident, professional manner.
· Able to independently resolve issues and questions.
· Flexible to adapt to new projects as required for the support of the group.
· Capable of successfully prioritizing tasks.
· A good decision-maker, with proven success at taking initiative and making timely decisions that keep the organization moving forward.
