This is a full-time position with regular working hours of 40hrs per week, Monday to Friday, 10:00 am – 6:00 pm. Evening and weekend work is expected during high-activity periods. This position is a union-represented position subject to terms of the Museum’s agreement with Local 2110, UAW, and is eligible for the New Museum’s employee benefits programs.
Responsibilities:
●Support NEW INC team with planning and production coordination of public programs and internal community events. The NEW INC program is taking on a hybrid format in this upcoming cohort year starting in September. Tasks include but are not limited to: managing technical production of public events and internal meetings, communicating with other museum departments to submit work requests, scheduling showcase load-ins, and de-installs, and organizing staff to successfully execute programs as a team.
●Support the team in the execution of program-related content for the promotion and communication of events both internal and public including compiling and mocking up digital content for events and programs in MailChimp, setting up Eventbrite or Zoom webinar pages, drafting content and assets in Keynote, and other digital platforms as requested.
●Support in execution of in-person events taking lead in all aspects of production from ordering materials and supplies to set up and pack down. Act as point of contact for all production vendors, suppliers, and venue production liaisons. Events include but are not limited to monthly workshares and skill shares, and one-off gatherings and events. This position supports both internal, community events for NEW INC members and external, public facing events and exhibitions.
●Supports NEW INC Director and team as needed in the planning and production of major and public events including Demo Day and Track showcases, overseeing all details including meeting planning, securing of venues and vendors, runs of show, letters of agreement, budgets, and catering.
●Developing an inclusive and diverse roster of vendors for us to work with across photo/video, fabrication studios, audio, visual, and equipment rentals, etc

●2-4 years of production and event management experience (exhibition, performing arts, festival, art/design/tech fairs, panels, or symposiums).
●Ability to maintain and advance multiple production timelines and projects at the same time.
●Demonstrated experience managing teams of vendors, including production labor, photo/video documentation, and food/beverage providers.
●Experience with virtual and hybrid event production
●Comfortable and confident in taking autonomous ownership over tasks within your purview and are always anticipating the next move, striving to improve systems and processes at every turn.
