- The role of the Accounting Manager is to support Company and Department goals while promoting a positive impression of the Accounting Department and ICS on an ongoing basis.
- Must understand how all departments operate together and understand their challenges. This will involve working with each department to gain visibility and understanding to develop strategies to facilitate successful outcomes.
- Ensure that “Best Practice” controls are implemented and maintained to ensure accuracy and timely capture into the Vista ERP.
- At all times be open to input, guidance, change, special work projects and generally adopt a philosophy of teamwork.
- Engage with the Accounting Department annual and quarterly Traction plans and participate in efforts to achieve those goals.
- Maintain high ethical standards in both their work, and in dealing with co-workers.
- Work within the company Core Values as a means to adopt ICS culture.
Duties/Responsibilities:
- The Accounting Manager shall be responsible for, but not limited to the following:
- Be the leader of the Accounting Team to build influential and dynamic relationships with the Team members, and across all departments resulting in the ability to work cross-functionally to support company performance and outcomes.
- Collaborate with the CFO to manage all functions of the Accounting Team and all companies.
- Publish and manage the closing calendar to keep on schedule in for timely financial reporting.
- Participate in the compilation & distribution of the monthly financial reporting package, including Balance Sheet with Ratios, Income Statement, Statement of Cash Flows, and final WIP Schedule.
- Compile & distribute monthly/quarterly financial analysis package at company and project levels, including Overhead/G&A BvA, Trend, and Comparative analysis by company, location, department and business line.
- Provide relevant commentary and narrative insight on performance in the financial package.
- Drive discussions to develop and implement strategies around strengths, weaknesses, and opportunities for project, overhead, and expense control efforts with the goal to:
o Improve both Projects and Company Cash Flow
o Optimize DSO, DPO, Costs in Excess, Billings in Excess, and billing timeliness
- Seek and implement ways to optimize the monthly financial cycle execution (AP, AR, PR, EM).
- Improve/implement Vista configurations to elevate systems effectiveness and support increased efficiency in the monthly processing cycle.
- Monthly Bank Reconciliations of all accounts.
- Cost analysis for open projects.
o Work with PMs to ensure the maintenance of accurate Job Cost records for all projects.
o Review and analyze job cost reports to evaluate and maintain accurate project costs.
o Track project performance to completion via Cost to Complete analysis.
o Create project KPI’s to enhance PM knowledge and project performance awareness.
- Seek improvements in the kickoff process for new projects via the Project Management Workbook tool (PMW).
- Support management of the revenue forecast with the Operations Dept.
- Collaborate with CFO to drive the WIP management process through active contributions to
- Work with Accounting and Project Management to ensure audit-quality level of project labor compliance on all projects, including:
o Prevailing wage requirements as mandated by the Department of Industrial Relations.
o Union wage requirements mandated by union project labor agreements (PLAs).
o Labor and wage compliance requirements as mandated by other government authorities such as Davis-Bacon, Service Contract.
- Work with Estimating and CFO to calculate and maintain fully burdened labor rates for the master Fixed Rate Craft Class table for use in job cost on all projects for the following:
o ICS Core labor rates
o Prevailing Wage rates
o Union wage rates
o Davis-Bacon rates
o Service Contract rates
o Other labor rates in connection with pre-qualification and bids.
- Ensure subcontractor vetting and compliance checks are complete prior to project start.
- Train with internal and outside resources in an ongoing effort to become a key Vista user support resource for Accounting and Project Management Teams.
- Ensure best practice project controls.
- Phase/Cost Code table maintenance as needed to support costing accuracy controls.
- Participate in the configuration and implementation of the Vista modules:
o Subcontract Ledger – Vista Review/Create & Send execution for subcontract agreements
o Purchase Order – Creation, issue, matching, reconciliation.
o Vista Imports – Projects (via B2W), change orders, purchase orders, cost entries.
o Equipment management module training and support for Operations.
o Construction supplies inventory process design and implementation.
· Prepare the company to move from an annual financial review to a full audit
o Process documentation
o Internal controls write-up and with adjustments to separation of duties and workflows as needed
o Monthly workpaper reconciliations
- Participate in the development of a compliance program for Federal Acquisition Regulation (FAR) to support the company in pursuing Federal projects.
- Engage with the Traction program, related L-10 activities, and operate generally in a mode that achieves the quality of outcomes that are the core of the program
- Special projects, and other duties as assigned by Management.
Knowledge/Skills/Abilities
- Maintain a high ethical standard when dealing with confidential information.
- High level of accuracy and efficiency with attention to detail.
- Experience with ERP/construction industry software.
- Intermediate to advanced level Excel and other O365 tools as needed.
- Ability to work both independently, and in a team setting.
- Ability to plan, organize and schedule activities efficiently and productively.
- Take direction and keep a positive attitude in a busy environment.
- Strong communication skills and the ability to professionally collaborate.
- Good understanding of proper safety procedures and recognizing hazards.
- Must be a team player and create a positive environment.
- Must be a self-starter and motivated with a strong follow-through.
- Education/Training
- Bachelor’s degree in Accounting / Finance or similar business field.
- Minimum of three years construction industry experience in an Accounting Manager role.
- Valid Driver’s license, and reliable transportation.
