Legal Conflicts & Client Intake Coordinator

Los Angeles, CA | Hybrid – 3 Days Onsite

Non-Exempt | 7.5-Hour Workday


Matura Farrington is working closely with a highly regarded litigation boutique in its search for an experienced Legal Conflicts & Client Intake Coordinator to take ownership of key conflicts, new business intake, and matter administration functions. This is a highly visible role that works closely with attorneys, firm leadership, Accounting, and IT and requires excellent judgment, analytical skills, and a strong internal client-service mindset.


The position is ideal for someone who approaches conflicts as a research and analytical function—not simply a processing function—and who enjoys working with sophisticated attorneys in a high-performing, collaborative environment.


Position Overview

This individual will research potential conflicts and related entities, prepare conflicts reports, support new client vetting, and oversee matter-opening workflows. The position will also provide backup coverage for docketing and coordinate certain records-related activities, although neither will be a primary day-to-day responsibility.


Key Responsibilities

Conflicts Research & Analysis

  • Conduct conflicts searches for prospective clients and new matters
  • Research corporate relationships, affiliates, related entities, and other relevant parties
  • Review and organize search results and prepare clear, accurate conflicts reports for attorney review
  • Maintain the integrity and accuracy of conflicts data
  • Coordinate with attorneys and staff to obtain complete information required for conflicts clearance
  • Assist with conflicts-related audits, reporting, and risk-management initiatives
  • Escalate potential issues for appropriate legal or professional responsibility review

New Business Intake & Matter Administration

  • Coordinate new client and matter intake from initial request through matter opening
  • Review intake submissions for completeness and accuracy
  • Gather background information to support the vetting of prospective clients
  • Monitor engagement letter documentation and onboarding requirements
  • Coordinate with Accounting regarding retainers, trust deposits, and related financial requirements
  • Maintain accurate client and matter records
  • Process matter updates, closures, reactivations, and other changes as needed

Records & Docketing Support

  • Coordinate records retention and destruction activities, including off-site records
  • Partner with IT on document management and information governance initiatives
  • Provide backup support for the firm's docketing function as needed
  • Help ensure confidential client and firm information is appropriately maintained and protected

Process & Operational Support

  • Maintain written procedures, workflows, and service standards
  • Help ensure appropriate cross-training and backup coverage for key functions
  • Prepare reports for leadership and recommend process improvements
  • Coordinate with a part-time records resource as needed
  • Partner across Accounting, IT, attorneys, and firm leadership to provide responsive administrative support


Qualifications

Experience

  • 5+ years of law firm experience in one or more of the following areas:
  • Conflicts
  • New business/client intake
  • Risk management
  • Records or information governance
  • Docketing
  • Legal operations
  • Strong conflicts research and analytical experience highly preferred
  • Experience working directly with attorneys and providing a high level of internal client service


Education

  • Bachelor's degree preferred

Technical Skills

  • Strong Microsoft Office skills, with Excel proficiency particularly important
  • Experience with legal document management, conflicts, intake, or financial systems
  • iManage experience is a plus
  • Aderant experience is a plus
  • Familiarity with legal docketing systems such as CompuLaw is helpful
  • Experience importing, exporting, manipulating, or maintaining data is beneficial
  • Exposure to financial or practice-management system conversions is a plus
