JOB TITLE: Content Management Specialist

Location: Lawrence Township, NJ OR Madison, NJ - 50% onsite

Duration: 12 months initial (potential extension/potential right to hire)


The Content Specialist acts as a critical link between Brand Teams, enabling functions, and MLx to ensure the company's Strategic Asset Management AI (SAMai) platform, the UBP Updates Accelerator, content libraries are accurate, searchable, compliant, and activation-ready.

This role owns the integrity, organization, tagging, and accessibility of strategic content within SAMai, and is accountable for metadata/taxonomy standards, tagging accuracy, seamless asset transfer, and building well-structured content libraries that enable GenAI-driven strategy creation and strategic content reuse. The Content Specialist also coordinates day-to-day user access administration for the UBP Updates Accelerator, ensures the content library remains current through proactive lifecycle management, drives content quality and compliance practices, and oversees content production workflows to deliver timely, compliant, and high-quality assets across channels.


This is a contract engagement staffed at a manager level of scope, judgment, and stakeholder management — the Content Specialist operates with a high degree of autonomy, sets working cadence with Brand Teams and agencies, and represents SAMai platform operations in cross-functional discussions, while final accountability for platform ownership remains with a designated Client employee, consistent with the company's access-governance policy.


Key Responsibilities:

Serves as the accountable point of contact for content quality, compliance, and accessibility across SAMai and the UBP Updates Accelerator.

1. SAMai Stewardship & Governance

• Serve as the gatekeeper for SAMai content quality, currency, and compliance; run periodic audits to ensure only final, approved strategic documents are available.

• Manage day-to-day user access administration - new access, and disablement in line with the approved Access Model. Escalate exceptions to Business Owner

• Define and manage area of responsibility (e.g., region, therapeutic area) and align maintenance cadence to governance needs.

• Partner with Brand Teams, enabling functions and agencies (where appropriate) to ensure timely, accurate strategic document submission and resolve gaps or inconsistencies.

• Maintain the content library's currency on an ongoing basis: track each document type's expected lifecycle, proactively reach out to Brand Teams ahead of expiration, and retire or archive outdated, non-final, or non-compliant items.

2. Document Intake, Collection & QC

• Engage Brand Teams on a regular cadence to compile and collate relevant strategic documentation; maintain a list of core brand contacts to facilitate efficient communication.

• Manage document intake, folder structure, and validation/QC across SharePoint and downstream repositories.

• Monitor alerts from the UBP Updates Accelerator for UBP Story updates and proactively reach out to Brand Teams for corresponding material.

• Identify content gaps and coordinate with Brand Teams to close them.

3. Taxonomy, Tagging & Metadata

• Apply and continuously improve taxonomy, tagging, and metadata standards to maximize discoverability and reuse across SAMai and enterprise systems.

• Validate AI-generated first-pass tagging for accuracy and completeness; ensure tagging and metadata integrity to enable enterprise search and insights on the most recent approved content.

• Review documents to confirm no sensitive information (e.g., pricing, budget, PII) is present; apply redaction and the appropriate sensitivity label (e.g., "Client Internal”) where required.

• Rename and log documents per Client naming conventions, tracking original and final file names.

4. Content Submission, Upload & Version Control

• Upload approved, tagged content into the SAMai; validate that tags and metadata transition correctly.

• Ensure only correct, current versions are available: manage updates and replacements, remove outdated versions from active libraries, and retain archived versions per policy.

• Validate asset findability by running searches to confirm new and updated content is discoverable and that the most recent approved version is surfaced.

5. UBP Updates Accelerator – User Access Coordination

• Manage day-to-day user access administration for the UBP Updates Accelerator (Viewer, Contributor, and Approver roles), new access, modification, and disablement in line with the approved Access Model.

• Triage and track access requests end-to-end, following up with requestors and managers to ensure timely approval and provisioning.

• Escalate access issues, inactive accounts, or exceptions to the appropriate Business Owner / Data Custodian, since final accountability for the Access Model rests with a Client employee.

6. Workflow Orchestration, Vendor & Stakeholder Enablement

• Execute seamless asset transfer across systems and stakeholders; monitor and resolve production bottlenecks to maintain speed-to-market.

• Act as first point of contact for the SAMai support inbox for content-related questions — including requests to redact sensitive information or flag outdated/non-compliant content — and resolve or route accordingly.

• Own Tier 1 escalations (tagging/metadata inconsistencies, duplicate or outdated content, formatting questions) and escalate to Business & Product IT Owners when cross-team alignment or prioritization is required.

7. Library Maintenance & Process Improvement

• Create and maintain a well-organized, governed content library with reporting on collected documents by brand, market, and document type to ensure comprehensive coverage of strategic assets.

• Identify and implement (when approved) process improvements, including taxonomy updates (e.g., new fields, additional brands/indications) on a rolling basis and workflow optimization as tooling (e.g., tagging or redaction agents) evolves.

• Deep understanding of metadata standards, tagging protocols, and compliance requirements (Content Governance).

• Skilled in organizing and maintaining enterprise content libraries for scalability and reuse.

• Strong capability to interpret data and leverage insights for process optimization.

• Comfortable driving GenAI-enabled strategies and evolving content ecosystems.

• Operationally excellent — focused on efficiency, accuracy, and continuous improvement in content workflows.

• Experience managing production timelines, vendor/agency coordination, and multi-channel content delivery.

• Familiarity with production tools and platforms for workflow management, version control, and access administration.

• Strong problem-solving skills to address production bottlenecks, access issues, and ensure speed-to-market.


Technical Skills

• Familiarity with DAM platforms (e.g., AEM, Veeva Vault PromoMats) and content governance tools.

• Solid understanding of AI-driven content generation and related technologies.

• Experience supporting IT access models, user access reviews (UAR), or similar governance processes is a plus.

Non-Technical Skills Soft Skills

• Strong communication and stakeholder management skills across brand, agency, and technical teams.

• Ability to lead cross-functional initiatives and drive process improvements independently.

Additional Standout Experience

• Previous pharmaceutical brand marketing experience

• Previous brand strategy or brand planning experience


Education Required Bachelor's degree in marketing, Business, Information Technology, or a related field.
