About the Role

Our client is seeking a detail-oriented Dispatch Specialist to join their established and growing team in San Jose. This position plays a critical role in coordinating service schedules, dispatching technicians or drivers, managing customer communications, and ensuring efficient day-to-day operations.

The ideal candidate will have at least 2 years of dispatch experience along with a background in logistics, transportation, construction, service, or customer-focused environments. Strong organizational skills, problem-solving abilities, and a sense of urgency are essential for success in this role.

Responsibilities

• Coordinate and dispatch technicians, drivers, or service personnel to customer locations.
• Schedule and manage daily service calls, deliveries, and appointments.
• Communicate with customers regarding schedules, service updates, and issue resolution.
• Monitor routes, timelines, and job progress to ensure on-time completion.
• Support logistics and transportation activities, including tracking deliveries and service requests.
• Maintain accurate records, dispatch logs, and operational documentation.
• Collaborate with operations, warehouse, and field teams to maximize efficiency.
• Handle incoming customer inquiries and provide exceptional customer service.
• Troubleshoot scheduling conflicts and adjust priorities as needed.
• Assist with invoicing, reporting, and administrative duties related to dispatch operations.

Qualifications

• 2+ years of dispatch experience required.
• Experience in logistics, transportation, construction, field service, or service-based organizations.
• Strong customer service and communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Office Suite.
• Experience with Sage software is a plus.
• Excellent organizational and problem-solving skills.
• Strong attention to detail and follow-through.
