Executive Assistant
Location: Burbank, CA – Onsite
Schedule: Monday–Friday, 9:00 AM–5:00 PM
Assignment Length: 9 months, potential temp to permanent
Start Date: ASAP
Pay Rate: $35/hour
About the Role
A leading global media and entertainment company is seeking an experienced Executive Assistant to support senior leadership.
Key Responsibilities
- Manage a complex, high-volume calendar involving internal leadership meetings and external business engagements.
- Proactively resolve scheduling conflicts and prioritize meetings based on business relationships and deadlines.
- Coordinate travel arrangements, including flights, hotels, and ground transportation, often on short notice.
- Process and reconcile corporate card and travel expenses accurately and efficiently.
- Provide responsive, thoughtful support and follow up on action items to keep the executive organized and efficient.
- Coordinate meetings, including agendas, notes, action items, and follow-ups.
- Track key deliverables, deadlines, and follow-ups to ensure timely completion.
- Collaborate with internal and external contacts and other Executive Assistants to gather information and resolve issues.
- Screen and respond to phone calls and emails and manage incoming and outgoing packages.
- Assist with department events, including logistics and vendor coordination.
- Support special projects and additional administrative needs as assigned.
- Monitor communications and priorities throughout the day and remain flexible around business and event schedules.
Qualifications
- 5+ years of experience as an Executive Assistant supporting a senior-level executive.
- Proven ability to manage high-volume, fluid calendars involving multiple stakeholders.
- Advanced proficiency with Microsoft Office and/or Google Workspace.
- Experience with expense and travel platforms such as Concur or Workday.
- Strong written, verbal, organizational, and proofreading skills.
- Excellent judgment and discretion when working with senior executives and external partners.
- Ability to work flexible hours when needed around events and production schedules.
- Polished, confident, and professional communication style.
- Ability to anticipate needs, prioritize effectively, and remain composed in a fast-paced environment.
