Overview
As the Executive Assistant to the VP, Programming & Acquisitions at CBS Sports, you will support an executive who manages the direct relationship with the UFC and Zuffa Boxing and serves as a key liaison between senior leadership and the CBS Sports team amid one of the company's highest-profile media rights partnerships. You will demonstrate superb judgment while managing a variety of situations and confidential matters with the utmost discretion. You will create and deliver clear verbal and written communications, and demonstrate impressive administrative and organizational skills, particularly around calendar and expense management for an executive whose schedule shifts constantly between internal leadership meetings and external UFC and Zuffa Boxing engagements. You have proficient interpersonal skills with a confident, polished presence, and you're someone who builds trust easily, brings positive energy, and knows how to read the room. The ideal partner in this role is a driven individual who can prioritize successfully for themself and the executive, and who can work excellently under pressure.
This position is an on-site role, located in our Burbank Office.
Responsibilities
- Own and manage a complex, high-volume calendar that toggles frequently between internal and external UFC and Zuffa Boxing engagements, proactively resolving conflicts and prioritizing based on business relationships and deal timelines.
- Coordinate heavy travel itineraries tied to UFC events, fight weeks, and CBS Sports meetings, including flights, hotels, and car service, often on short notice, and monitor plans throughout.
- Process and reconcile expenses quickly and accurately, including corporate card reconciliation, receipt collection, and travel-related spend tied to UFC and fight week activity, ensuring compliance with company policy and on-time month-end close.
- Be highly responsive to direct and anticipated needs; provide fast, accurate, and thoughtful responses to requests, and follow up on action items in support of the executive's efficiency and effectiveness.
- Provide effective and expeditious meeting coordination including agendas, notes, action items, and follow-ups for both internal and UFC-facing meetings.
- Track key deliverables, deadlines, and follow-ups related to the UFC partnership, ensuring preparation and materials are ready ahead of time.
- Partner with key contacts on the CBS Sports and UFC sides, and their EAs, to collaborate, acquire information, problem-solve, and achieve desired results.
- Screen and respond to phone calls, emails, and incoming/outgoing packages.
- Assist with planning and execution of department events tied to UFC programming, including logistics, vendor coordination, and on-site support as needed.
- Manage special projects, run occasional personal errands, and take on additional duties as needed.
- Prioritize tasks and organize daily; monitor emails during working hours and before/after them given the fast pace of live event and partner schedules.
Basic Qualifications
- 5+ years of experience as an Executive Assistant, preferably within media, sports, or entertainment, supporting a senior executive.
- Advanced proficiency with Microsoft Office and/or Google Workspace, including Outlook/Calendar, Excel/Sheets, PowerPoint/Slides, and Word/Docs.
- Experience with expense and travel systems such as Concur or Workday.
Additional Qualifications
- Demonstrated experience managing high-volume, fluid calendars involving both internal and external stakeholders.
- Use good judgment and discretion when interacting with senior executives, industry leaders, including UFC counterparts, and other important partners.
- Ability to work flexible hours around event schedules, such as fight weeks and live production windows.
- Applies solid writing, editing, and proofreading skills for emails, presentations, and other correspondence.
- Familiarity with the sports, media, or live event production industry is a plus.
Pay Rate
- $31.90 to $36.90 per hour
