Full job description
Executive Assistant, $110-125K+ Bonus & Fully Paid Benefits
Fairfield County, CT | Full-Time | Hybrid
Early Stage, highly successful PE Fund
The Firm
This is a private equity firm at a genuinely exciting moment. Early-stage, already highly respected, and growing quickly. They have built something real in a short amount of time, and the trajectory is strong.
The team is tight-knit, talented, and collaborative. Leadership is invested in the people around them. If you are the kind of person who wants to be part of something that is still being built, and to grow alongside it, this is worth a serious look.
The Role
The firm is looking for an Executive Assistant who will sit at the center of the operation. You will manage complex calendars across senior leadership, own travel logistics for the entire team, coordinate board and investor meetings across a growing portfolio, and help keep the firm running efficiently day to day.
This is a high-visibility role. You will work closely with partners and investment professionals, interact with portfolio company executives, board members, investors, and candidates, and represent the firm in every one of those interactions. How you show up matters.
What You Will Own
Calendar and Scheduling: Full ownership of scheduling across senior leadership. Anticipate conflicts, reprioritize in real time, and keep the team aligned without being asked.
Travel Coordination: End-to-end logistics for the entire team. Multi-leg itineraries, group coordination, preferred vendors, and real-time problem-solving when plans change.
Board and Investor Meetings: Coordinate board meetings across the portfolio and LP/annual meetings. Manage scheduling, materials, venue logistics, and follow-up. Cadence expected to scale to 10-plus meetings per quarter.
Expense Management: Prepare, submit, and track expense reports for senior leadership. Reconcile corporate card activity and maintain documentation in line with firm policy.
Recruiting Coordination: Manage candidate interview logistics and serve as a professional point of contact for candidates and search partners throughout the process.
CRM and Systems: Help maintain DealCloud and other internal systems, including data entry, contact hygiene, and activity logging. Support reporting for business development and deal sourcing.
Who Fits
3 to 5 years of experience in administrative support, client service, event coordination, or a similar capacity. Financial services or professional services background is a plus-this team loves potential.
More than the experience, we are looking for someone who is sharp, curious, and genuinely motivated. You anticipate what is needed before being asked. You communicate clearly and professionally. You understand discretion. You bring energy and initiative to your work rather than waiting for a task list.
Strong Microsoft Office and Outlook proficiency required. DealCloud or CRM experience is a plus.
This is an immediate need!
