Architecture firm in NYC is seeking an Executive Assistant to support a C-Suite Executive. Must have excellent communication skills and 5+ years of prior experience supporting senior leaders in a fast-paced environment.


Fully onsite

Salary range: $100-130k base plus bonus

Hours: 9-6


Responsibilities

  • The Executive Assistant will provide high-level administrative support to the executive, ensuring smooth daily operations and communication.
  • This role involves managing schedules, coordinating meetings, and handling sensitive information with confidentiality and professionalism.
  • Facilitate communication within the organization and externally with clients and consultants to enhance efficiency.
  • Coordinate travel arrangements, process expense reports, and maintain accurate records for seamless executive operations.
  • Support marketing initiatives, proposals, and project management plans to align with organizational goals.
  • Organize special events, maintain contact databases, and manage deliveries to ensure smooth office functioning.
  • Provide general administrative support to the broader team, adapting to dynamic priorities.
  • Handle expense reports, credit card reconciliations, and travel files promptly and accurately.
  • Assist in creating and formatting proposals, billing letters, and project management plans.
  • Maintain contact databases and facilitate communication with external stakeholders and internal teams.
  • Organize and coordinate special events, team activities, and office functions.
  • Provide general administrative support, including document management and workflow coordination.


Requirements

  • Bachelor’s degree in Interior Design/Arts or equivalent experience required.
  • Minimum of 5 years of executive or administrative experience; 8+ years preferred.
  • Proficiency in Microsoft Suite (Word, Excel, Outlook) and Adobe preferred.
  • Strong organizational, multitasking, and time management skills with attention to detail.
  • Exceptional verbal and written communication skills, maintaining confidentiality and professionalism.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Experience in managing multiple priorities and administrative logistics effectively.
