Position Title: Project Associate Temp

Location: NYC

Duration: 3 months, potentially longer

Hours per Week: 37.5 hours

Key Responsibilities

  • Program & Capital Support: Assist with capital access and small business initiatives, including securing internal approvals for loans and grants, ensuring lender compliance with written agreements, tracking program activity, and supporting partners.
  • Portfolio Management: Support a portfolio of active grants and loans by reviewing applications, managing the approval and funding processes, preparing Grant Disbursement Agreements, and drafting director approval documents.
  • Cross-Functional Coordination: Partner with internal departments (Origination, Finance, Contractor & Supplier Diversity, Legal) to prepare board materials, contracts, and project status reports.
  • Disbursement & Auditing: Review disbursement request, perform desk audits, and manage the funding process in coordination with internal teams and grantees.
  • Database & Tracking: Create, update, and maintain project tracking databases and administrative systems to ensure accurate data management.
  • Process Improvement: Assist in developing program criteria, operating procedures, and reporting mechanisms to optimize program efficiency and compliance.
  • Reporting & Analysis: Conduct research, analyze program data, and prepare detailed spreadsheets, status reports, and annual reports.
  • Financial Administration: Facilitate the vendor payment process by coordinating directly with Accounts Payable, Contract Administration and Treasury.
  • Representation & Outreach: Master the details of the department’s program portfolio to confidently represent the organization during calls, outreach campaigns, and public events.
  • General Support: Attend partner and lender meetings, conduct research, and execute other department-wide tasks as assigned.

Qualifications

  • College degree preferred in business, public administration, accounting, or another business-related field.
  • Familiarity with small business issues, interest in entrepreneurship, knowledge of community development financial institutions, or community development, and/or nonprofit management or government programs and policies.
  • Excellent written and verbal communication skills, strong organization, problem solving, time management, and analytical skills.
  • Ability to efficiently manage multiple projects/tasks simultaneously, take initiative, and works independently.
  • Familiarity with business, not-for-profit, and governmental agencies, and general knowledge.
