The Payroll Coordinator is responsible for processing and maintaining accurate, timely payroll for all company employees, including field, union, and non-union personnel. This role ensures compliance with federal, state, and local payroll regulations, prevailing wage laws, and collective bargaining agreements. The Payroll Specialist works closely with HR, Accounting, and Project Management teams to support accurate labor cost allocation and reporting within a construction environment.
Responsibilities:
- Process weekly payroll for both union and non-union employees, ensuring accuracy and timeliness.
- Maintain and update employee records related to wages, deductions, benefits, and job cost codes.
- Review and verify timesheets, certified payrolls, and job cost allocations for accuracy and compliance.
- Manage subcontractor certified payroll reports and ensure compliance with prevailing wage requirements.
- Ensure compliance with local tax jurisdictions and garnishment regulations.
- Coordinate and submit fringe benefit reporting for union employees to appropriate trade organizations.
- Reconcile payroll reports, general ledger postings, and quarterly filings.
- Assist with the preparation and filing of year-end forms, including W-2s and 1099s related to labor payments.
- Support audits by providing documentation and responding to inquiries from external auditors and regulatory agencies.
- Collaborate with HR and Project Managers to resolve payroll discrepancies, employee inquiries, and field reporting issues.
- Maintain strict confidentiality of employee payroll information at all times.
- Perform other duties as assigned to support the accounting department.
Qualifications
- Minimum of 3 years of payroll processing experience; construction industry experience strongly preferred.
- High school diploma required; associate or bachelor’s degree in accounting, Business, or a related field preferred.
- Proficiency in Microsoft Office, including Excel, Outlook, and Word.
- Experience with payroll software required; ERP system experience, such as Viewpoint Vista, is a plus.
- Strong attention to detail, accuracy, and organizational skills.
- Familiarity with state payroll tax regulations and construction job cost accounting.
- Ability to manage multiple priorities in a fast-paced environment.
- Demonstrated integrity, professionalism, and ability to handle confidential information.
