About Midwest Gaming

Midwest Gaming is a long-established and growing company in the amusement industry specializing in pinball machines, arcade games, and related equipment.

We sell equipment directly to consumers and businesses from our Wood Dale showroom, as well as deliver, install, service, and operate amusement equipment throughout the Chicagoland area.

We are looking for an experienced, detail-oriented Accountant / Bookkeeper to take responsibility for the day-to-day accounting and bookkeeping functions of our business.

Strong QuickBooks Online experience is essential for this position.

This is primarily an accounting role. The person in this position will also work in our office/showroom environment and should be comfortable answering phones, communicating with customers, and welcoming customers who visit the showroom.

Position Overview

The Accountant / Bookkeeper will be responsible for maintaining accurate financial records and helping ensure that Midwest Gaming's accounting is current, organized, and reliable.

We are looking for someone who understands accounting—not simply someone who has entered transactions into QuickBooks.

The right person should be comfortable working independently in QuickBooks Online, reconciling accounts, managing accounts payable and receivable, reviewing transactions for accuracy, preparing financial information, and identifying issues that need attention.

Because this position works from our showroom and office, you will also occasionally interact with customers. We want someone who is professional, friendly, and comfortable representing Midwest Gaming, but accounting will be the primary focus of the position.

Accounting & Bookkeeping Responsibilities
  • Maintain accurate books and financial records in QuickBooks Online
  • Record, review, categorize, and reconcile financial transactions
  • Perform regular bank reconciliations
  • Reconcile credit card accounts and other balance sheet accounts
  • Manage accounts payable
  • Review vendor bills and ensure expenses are properly categorized
  • Prepare and process vendor payments
  • Manage accounts receivable
  • Create and maintain customer invoices
  • Record customer payments and deposits
  • Follow up on outstanding receivables when necessary
  • Maintain accurate customer and vendor records
  • Review transactions for proper classification and supporting documentation
  • Maintain the general ledger and help ensure accounts remain accurate
  • Investigate and correct accounting discrepancies
  • Assist with month-end accounting and closing procedures
  • Prepare and review financial reports for management
  • Assist with profit and loss, balance sheet, and other financial reporting
  • Track deposits and ensure payments are recorded correctly
  • Help maintain accurate records for equipment and inventory purchases
  • Work with management to improve accounting procedures and internal organization
  • Maintain organized electronic and physical accounting records
  • Assist with sales tax, payroll, and other accounting-related reporting as needed
  • Coordinate with outside accountants, payroll providers, tax professionals, vendors, and financial institutions when necessary
  • Help ensure accounting deadlines and financial obligations are handled accurately and on time
QuickBooks Experience

This position requires someone who is highly proficient with QuickBooks Online.

We are looking for someone who can do more than basic data entry.

The ideal candidate should be comfortable with:

  • Bank and credit card reconciliations
  • Chart of accounts
  • Accounts payable
  • Accounts receivable
  • Customer invoicing
  • Vendor bills
  • Deposits and payments
  • Transaction categorization
  • General ledger review
  • Financial reports
  • Researching and correcting discrepancies
  • Cleaning up incorrectly entered transactions
  • Maintaining accurate supporting documentation

Experience working with a business that has inventory, retail sales, ecommerce, or equipment sales is a strong plus.

Customer & Showroom Interaction

Although this is primarily an accounting position, our office is located within our showroom and customers regularly visit our business.

You should be comfortable:

  • Greeting customers who enter the showroom
  • Answering incoming phone calls
  • Responding professionally to basic customer questions
  • Helping customers who are waiting for another team member
  • Scheduling or coordinating showroom visits when needed
  • Communicating professionally with customers regarding invoices, payments, deposits, or account questions
  • Providing a friendly and professional first impression of Midwest Gaming

This is not primarily a sales position.

You will not be expected to become a pinball or arcade expert. Our team can teach you the basics about the products we sell, and sales staff will handle more involved product discussions and transactions.

Additional Office Responsibilities

Because we are a smaller, hands-on business, everyone occasionally helps where needed.

Additional responsibilities may include:

  • Maintaining organized office records
  • Assisting with customer and vendor correspondence
  • Helping track orders, deposits, and paperwork
  • Supporting general office organization
  • Assisting management with administrative projects
  • Helping maintain accurate customer and transaction records across our systems

The accounting responsibilities of the position will remain the primary focus.

What We're Looking For
  • Strong experience with QuickBooks Online
  • Previous bookkeeping or accounting experience
  • Strong understanding of basic accounting principles
  • Experience with accounts payable and accounts receivable
  • Experience performing bank and credit card reconciliations
  • Ability to identify and resolve discrepancies
  • Strong attention to detail and accuracy
  • Excellent organizational skills
  • Ability to work independently and manage recurring accounting responsibilities
  • Comfortable working with confidential financial information
  • Strong written and verbal communication skills
  • Professional and personable when interacting with customers
  • Comfortable answering phones and working in a customer-facing office/showroom
  • Dependable and able to consistently follow through on responsibilities
  • Comfortable learning new software and business processes
Preferred Qualifications

The following are helpful but not required:

  • Accounting or bookkeeping degree/certificate
  • QuickBooks certification
  • Experience with retail or ecommerce businesses
  • Experience accounting for inventory
  • Experience with sales tax reporting
  • Experience with payroll administration or payroll coordination
  • Experience working with outside CPAs or tax professionals
  • Experience in a small or privately owned business environment

Experience with pinball or arcade games is not required.
