ADVANCE ASSOCIATE / UHNW FOUNDER
We are looking for a travel assistant based in either NYC or SF. Principal is a Tech Founder with a bi-costal family office, travels for 70% of the year, sometimes with little notice. Discretion is key – being able to read the room. Navigating ambiguity and traveling with little notice.
PRIMARY FUNCTION:
The travel advance associate plays a pivotal role within the operations department of a highly structured private family office. The role is committed to providing the highest level of support to the Principal, who travels frequently.
RESPONSIBILITIES:
- Work directly under and support the day-to-day operations of the Principal and the CEO.
- Partner with the travel team to coordinate seamless domestic and international travel, including advance preparation, hotel setup, local logistics, and last-minute changes.
- Provide hands-on support while traveling, including errands, appointments, and personal requests.
- Manage the Principal’s personal calendar, proactively resolving conflicts and coordinating reservations, appointments, errands, and other requests.
- Conduct targeted research and provide concise, well-vetted recommendations and briefs.
- Collaborate closely with the Principal’s executive, security, travel, and household teams to ensure seamless coordination.
- Triage time-sensitive matters discreetly and resolve issues with minimal disruption to the Principal.
- Support events, special projects, shopping, and other personal needs as required.
- Maintain confidential records and information with exceptional organization, discretion, and attention to detail.
QUALIFICATIONS:
- 7+ years of high-level Personal Assistant experience with extensive travel; family office/UHNW experience strongly preferred.
- Proven longevity in prior roles with excellent professional references.
- Exceptional discretion, integrity, judgment, and professionalism when handling highly confidential matters.
- Highly organized, detail-oriented, proactive, and able to work independently with minimal supervision.
- Adaptable, calm, and solution-oriented with strong problem-solving and multitasking abilities.
- Personable and collaborative, with the ability to build trusted relationships across a complex organization.
- Excellent verbal and written communication skills.
- Positive, service-oriented mindset and receptive to feedback.
- Proficiency with Google Workspace, Mac OS, and productivity tools; quick to learn new systems and workflows.
Ideal profiles are former touring assistants / managers, yacht crew, advance staff. The standards are very high here; we need someone who has achieved longevity in a challenging travel role.
Compensation: $150k-175k DOE, plus generous benefits package
Location: New York City or San Francisco + fully available to travel with the Principal
