Title: HR Generalist (Benefit Specialist)
Location: Palo Alto, CA / Waltham, MA (Hybrid)
Payrate: $55/hr - $65/hr
WHAT YOU’LL DO:
HR Operations & People Programs
- Support and coordinate HR projects and People Team initiatives from planning through execution.
- Develop and maintain project plans, timelines, trackers, and documentation to ensure timely completion of deliverables.
- Partner with cross-functional teams to collect, audit, reconcile, and maintain accurate employee and HR data.
- Support the development and implementation of HR processes and programs as business needs evolve.
- Assist with employee questions and HR-related requests, providing timely and accurate support and escalating complex matters when appropriate.
- Support internal HR audits, including employee records, I-9 compliance, benefits enrollment accuracy, and overall data integrity.
- Prepare reports, trackers, and presentations using Excel/Google Sheets and HR systems.
Benefits Administration & Open Enrollment – Key Focus
- Serve as a key point of contact for employee benefits administration, supporting employees throughout the benefits lifecycle.
- Guide new hires through their benefit options and enrollment process from start to finish, ensuring they understand available plans and complete enrollment accurately.
- Manage day-to-day benefits administration, including employee inquiries, enrollment changes, eligibility updates, and issue resolution.
- Maintain and support the benefits enrollment system, including system configuration, setup, testing, and ongoing updates.
- Take an active role in the planning and execution of annual Open Enrollment, including preparation, system setup, testing, launch, and employee support.
- Coordinate Open Enrollment activities and timelines across HR, benefits vendors, and internal stakeholders.
- Develop and distribute Open Enrollment communications, employee guides, FAQs, and other benefits-related collateral in partnership with Internal Communications.
- Perform benefits billing, reconciliation, reporting, and data audits to ensure accuracy and timely resolution of discrepancies.
- Support COBRA administration and continuation coverage processes.
- Serve as a primary contact for benefits vendors, coordinating issue resolution and maintaining effective vendor relationships.
- Monitor benefits data and enrollment records to ensure accuracy and compliance.
HR Compliance & Immigration Support
- Support HR compliance activities, including I-9 verification, recordkeeping, and audits.
- Assist with employee immigration coordination and administrative processes.
- Track visa statuses, expiration dates, deadlines, and required actions to ensure timely follow-up.
- Coordinate with employees, immigration partners, and internal stakeholders throughout the immigration process.
Vendor & HR Administration
- Maintain People Team vendor contracts, records, and related documentation.
- Track contract terms, renewal dates, expiration dates, and required actions.
- Coordinate with Legal and internal stakeholders regarding vendor documentation and renewals.
- Maintain accurate HR records and documentation while handling confidential employee information.
WHAT WE NEED:
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent education and experience.
- 5+ years of HR Generalist, HR Operations, People Operations, or Benefits experience, preferably within a technology or financial services environment.
- Strong hands-on experience with benefits administration, including employee enrollment, benefits systems, Open Enrollment, billing, reconciliation, or reporting.
- Experience supporting or owning annual Open Enrollment processes, including system setup, employee communications, enrollment support, and issue resolution.
- Experience working with HRIS and benefits administration platforms.
- Strong Excel or Google Sheets skills, including the ability to create and maintain reports, trackers, and data used for HR operations.
- Working knowledge of HR processes including employee records, compliance, benefits, HR systems, and employee support.
- Immigration coordination experience is preferred but not required.
Core Competencies
- Strong understanding of HR Operations and Benefits Administration with a hands-on approach.
- Excellent attention to detail, particularly when working with benefits enrollment, employee data, billing, and HR records.
- Ability to manage Open Enrollment activities and benefits processes while maintaining accuracy and meeting deadlines.
- Strong organizational and follow-through skills with the ability to manage multiple HR priorities simultaneously.
- Comfortable working independently and coordinating with employees, vendors, and cross-functional teams.
- Strong written and verbal communication skills, with sound judgment when handling confidential employee information.
- Ability to identify process gaps and contribute to improving HR and benefits processes.
- Comfortable using AI tools and HR technology to improve day-to-day workflows and processes.
- Ability to adapt to changing priorities in a fast-paced People/HR environment.
