Position: Conflicts & Billing Coordinator

Schedule: 35 hours/week, Monday–Friday, 9:00 AM–5:00 PM, with occasional overtime

Hybrid Schedule: Onsite Tuesday, Wednesday, Thursday


Overview:

This role splits its focus between two areas: roughly 60% of the job involves managing the conflicts-check workflow, while the remainder supports the Time & Billing team by handling billing inquiries and requests from internal stakeholders.


Key Responsibilities

Conflicts:

  • Handle new business intake, matter setup, and conflict-of-interest analysis and resolution using the organization's conflicts-tracking system
  • Run conflict checks and evaluate results in partnership with legal counsel
  • Track waivers and engagement letters throughout the process, flagging and resolving issues as they come up
  • Work with outside vendors to troubleshoot workflow problems
  • Research information independently using public databases
  • Respond promptly to attorneys and counsel when reports are needed
  • Keep the intake process and conflicts database accurate and complete by verifying all submitted information

Time & Billing:

  • Make edits and transfers to draft bills as instructed by attorneys, assistants, or the billing manager
  • Collect invoices and route them to the appropriate attorney or assistant
  • Help distribute draft bills each month
  • Respond to billing-related emails as directed
  • Finalize and send invoices to attorneys or clients
  • Support electronic billing processes
  • Take on other duties and projects as needed


Required Skills & Experience

  • Minimum 3 years of conflicts experience at a law firm (billing experience a plus)
  • Familiarity with iManage for conflicts and Aderant for billing preferred
  • Solid Word and Excel skills
  • Strong attention to detail, data entry accuracy, and proofreading ability
  • Good time management and ability to juggle multiple priorities under deadline pressure
  • Strong written and verbal communication
  • Professional, service-oriented approach to working with colleagues
  • Sound judgment, discretion, and a proactive work ethic
