Liebert Cassidy Whitmore (LCW) is a California-based law firm that has served as a trusted advisor to public agencies, educational institutions, and nonprofits for more than 45 years. With more than 120 attorneys across five California offices, LCW is seeking a Department Coordinator to support the firm’s Marketing, Training, and Practice Growth Strategy functions from its Los Angeles office.


ABOUT THE ROLE

The Department Coordinator provides essential administrative and coordination support across the department’s training, marketing, and practice growth initiatives.


This role is ideal for a highly organized, service-oriented professional who enjoys managing details, supporting multiple projects, and working collaboratively with attorneys, colleagues, clients, and vendors. The successful candidate will demonstrate sound judgment, initiative, strong communication skills, and the ability to manage competing priorities in a fast-paced professional environment.


KEY RESPONSIBILITIES

• Coordinate internal attorney trainings and webinars, including scheduling, presenter logistics, materials, and equipment shipping.

• Provide administrative support for the firm’s annual conference, including registration and the preparation and shipment of conference materials.

• Prepare, format, proofread, and maintain workshop materials, training recordings, handouts, forms, attorney biographies, and templates.

• Ensure department materials are accurate, consistent, and aligned with firm branding and style guidelines.

• Monitor shared department email inboxes, route inquiries, and provide timely and professional service to internal and external clients.

• Support the firm’s Requests for Proposals process by gathering information, organizing documentation, tracking deadlines, and assisting with submissions.

• Maintain attendee lists, evaluation summaries, firm-victories tracking, workshop calendars, and other department records.

• Prepare and submit MCLE and HRCI continuing education filings while maintaining accurate records and meeting compliance deadlines.

• Maintain the firm’s client and contact databases, including researching and resolving returned communications to keep information accurate and current.

• Assist with additional administrative responsibilities and special projects as assigned.


QUALIFICATIONS

• Related administrative experience in a professional office environment.

• Excellent organizational skills and the ability to manage multiple priorities, projects, and deadlines.

• Strong written, verbal, and interpersonal communication skills.

• A commitment to providing exceptional service to internal and external clients.

• Proficiency with Microsoft Office and the ability to learn new technology and business applications.

• Strong attention to detail and experience preparing, proofreading, and maintaining accurate documents, reports, and client-facing materials.

• Experience maintaining accurate records or databases.

• Sound judgment and the ability to work independently, follow established procedures, and appropriately handle confidential information.

• Strong problem-solving skills and the ability to adapt to changing business needs.

• A collaborative approach, along with the initiative and ownership necessary to successfully manage assigned responsibilities.


PREFERRED QUALIFICATIONS

• Bachelor’s degree in business, communications, marketing, or a related field.

• Experience supporting meetings, events, training programs, webinars, or projects.

• Experience working with databases, CRM systems, or event-management platforms.

• Experience supporting proposals or RFP submissions.


WORKPLACE AND POSITION REQUIREMENTS

This full-time position is based in LCW’s Los Angeles office and follows a 37.5-hour workweek. The position is onsite during the first 90 days and eligible for a hybrid schedule afterward.


Occasional travel outside the Los Angeles area by car or air, including overnight travel, is required to provide onsite registration support for the firm’s annual conferences. The position also requires the ability to move containers weighing up to 50 pounds, with or without reasonable accommodation.
