Executive Assistant
San Diego, CA | Full-Time | Hybrid (Onsite Tue/Wed/Thu, Remote Mon/Fri)
About the Role
We're looking for a highly organized, discreet, and proactive Executive Assistant to provide dedicated support to our CEO while also partnering with the broader executive leadership team. This is a high-trust, high-visibility role for someone who thrives on juggling competing priorities, exercises excellent judgment across different working styles, and can be counted on to handle sensitive information with complete confidentiality.

What You'll Do
CEO Support (Administrative & Personal)
- Provide day-to-day administrative and personal support to the CEO, including errands, reservations, and scheduling
- Coordinate business and personal travel arrangements and itineraries
- Manage correspondence, emails, and follow-up communications
- Anticipate needs and proactively solve problems before they arise
Executive Team Support
- Manage a complex leadership team calendar, incorporating travel, scheduling, and cross-time-zone conflict resolution
- Coordinate recurring leadership meetings (weekly/monthly SLT, quarterly sessions, board prep), including materials, logistics, and distribution
- Triage competing scheduling requests based on urgency and priority
- Support the finance team with travel system administration as needed
- Act as a gatekeeper and liaison between the executive team and internal/external stakeholders
Cross-Functional Support
- Support special projects and initiatives across the Executive Team
- Serve as a central point of coordination between executive team members
Meetings & Events
- Prepare, proofread, and format correspondence, presentations, board materials, and reports
- Plan and coordinate meetings, offsites, and company events — logistics, agendas, catering, and follow-up
- Support board meeting logistics and materials preparation
- Track action items across multiple executives to ensure deadlines are met
Confidentiality & Judgment
- Handle highly confidential financial, HR, and strategic information with the highest level of discretion
- Exercise independent judgment to prioritize requests without direct oversight
- Maintain strict boundaries around information sharing between executives and departments
What You Bring
- 5+ years of experience as an Executive Assistant, ideally supporting multiple senior leaders or a C-suite team
- Exceptional organizational and multitasking skills; able to context-switch seamlessly between executives
- Proven ability to manage competing priorities in a fast-paced environment with minimal supervision
- Strong written and verbal communication skills, adaptable to different executive styles
- A high degree of professionalism, discretion, and sound judgment — this role requires absolute trust
- Experience at a growth-stage or public company preferred
- Experience coordinating board meetings or leadership team logistics preferred
- Bachelor's degree preferred, but not required with equivalent experience
- Intermediate Microsoft Office skills, with strong emphasis on Excel and PowerPoint
- Proficiency with calendar and travel management systems; familiarity with project management tools a plus
Schedule
This is a hybrid role: onsite Tuesday, Wednesday, and Thursday, with remote work on Monday and Friday.
Compensation
The base salary range for this role is $80,000–$110,000 annually, commensurate with experience.
Exceptionally qualified candidates may be considered outside of this range.
