Role Description

Seeking an exceptional Executive Assistant & Office Manager who thrives in a fast-paced, entrepreneurial environment and is excited to wear many different hats at a kids & family production company during an exciting stage of growth. We’re a 5-person team of industry experts with one animated series currently in production, a second in pre-production, and a slate of creator-driven film/tv projects in development. We need someone to serve as the company's mission control—a highly organized, proactive problem-solver who keeps people, projects, and priorities moving seamlessly. The ideal candidate is detail-oriented, resourceful, and takes initiative without being asked while having good judgement about checking-in and confirming tasks. This is an opportunity for someone who is eager to make a meaningful impact within a highly collaborative production company and become an indispensable colleague to help maintain the operational foundation for an ambitious and growing start-up.

This position serves as the connective tissue between our creative, production, and business teams—anticipating needs, streamlining workflows, facilitating communication, and ensuring that priorities are executed with precision so nothing falls through the cracks. You will manage communication and interface directly with external production and franchise partners, being responsible for tracking timelines and deadlines, managing and distributing production assets, and ensuring deliverables and milestones are met. This role also includes heavy scheduling, organizing corporate files, creating and updating various decks for pitches, franchises and corporate presentations, and managing the day-to-day operations of the office, including vendor relationships, building management, IT coordination, and office supplies.

Interest in kids & family across film, TV, & digital is preferred and experience with the animation production pipeline is a strong plus. Candidates must have at least one year of assistant experience at a leading talent agency or management company.


Qualifications

  • Candidates should possess strong Executive Administrative Assistance and Administrative Assistance skills, including calendar management, meeting coordination, document organization, travel coordination, and preparing executive-level decks and presentation materials.
  • Candidates should possess excellent Communication skills, including clear written and verbal communication and professional interaction with internal and external stakeholders.
  • Candidates should ideally have experience in entertainment or media, familiarity with kids and family content, production experience, and the ability to handle sensitive information with discretion.
  • Candidates should possess strong time management, attention to detail, problem-solving skills, and proactively anticipate executives' and project needs, with the ability to prioritize.
  • Candidates should have prior experience supporting executives and a relevant educational background, such as coursework or a degree in business, communications, or a related field.
