Our Client

Our client is a prestigious global investment firm seeking an exceptional Executive Assistant / Personal Assistant to support a senior investment executive and partner closely with a Chief of Staff and broader executive support team.

This is a highly visible opportunity for an experienced EA/PA who thrives in a fast-paced, high-performance environment and enjoys operating at the intersection of sophisticated executive support and high-touch personal assistance. The role offers direct exposure to senior leadership, international collaboration, and the opportunity to become a trusted partner across both business and personal matters.

The Role

The Executive Assistant / Personal Assistant will provide seamless support to a globally active executive with significant business and personal responsibilities. This position requires exceptional judgment, responsiveness, flexibility, and the ability to anticipate needs in a constantly evolving environment.

Working closely with internal stakeholders, external partners, household staff, and an established support infrastructure, this individual will play a critical role in ensuring day-to-day operations run efficiently while supporting both professional and personal priorities.


Responsibilities

  • Manage a highly complex and constantly evolving calendar for a senior executive operating across multiple time zones
  • Coordinate global travel arrangements, including commercial and private aviation, and prepare detailed itineraries
  • Manage inbox communications, prioritize requests, and ensure timely follow-up on action items
  • Coordinate meetings and ensure all materials, logistics, and stakeholders are aligned in advance
  • Partner closely with the Chief of Staff, executive support teams, and key internal and external stakeholders
  • Support special projects, operational initiatives, and process improvement efforts
  • Handle last-minute scheduling changes, travel disruptions, and urgent requests with discretion and efficiency
  • Plan personal and family travel, vacations, and special events
  • Manage dining reservations, entertainment, hospitality, and lifestyle-related requests
  • Oversee gifting, purchasing, and other personal administration activities
  • Coordinate with household staff, vendors, contractors, drivers, security personnel, and service providers
  • Manage passports, visas, renewals, and other personal documentation
  • Support family-related matters, including staffing, education, and ad hoc projects
  • Oversee residential operations, property-related projects, deliveries, and installations
  • Serve as a trusted partner across both business and personal matters while maintaining absolute confidentiality


Qualifications

  • Bachelor's degree required
  • Significant Executive Assistant and/or Personal Assistant experience supporting a Founder, CEO, CIO, Principal, or other senior executive
  • Proven experience managing complex international travel and logistics
  • Exceptional calendar management and inbox management skills
  • Strong written and verbal communication abilities
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment
  • Ability to anticipate needs, exercise strong judgment, and solve problems proactively
  • Experience supporting both corporate and personal responsibilities simultaneously
  • Professional, polished, and confident interacting with senior stakeholders and external partners
  • High level of discretion, confidentiality, and emotional intelligence
  • Flexible, adaptable, and comfortable working in a demanding environment
  • Willingness to provide occasional after-hours or weekend support when required
  • Interest in technology, AI tools, and operational efficiencies is a plus


Compensation, Benefits & Schedule

  • Salary: $180,000 base salary
