Pocketbook Agency

Los Angeles, CA

Full job description

JRN #: 2627

We are seeking an Executive & Personal Assistant to support our clients, a private entrepreneurial couple. This is a hybrid role: the majority of the work supports the client's brand's day-to-day business operations and marketing, paired with lighter personal support for both principals. The ideal candidate brings operations experience alongside a home environment or private household background, moves quickly, and communicates fluently across Slack, email, and text. The principals hold a high standard for pace and follow-through, and they are looking for someone who wants to build a long-term career in this role.

RESPONSIBILITIES

The Brand — Business Operations & Marketing

  • Manage and execute payroll, taxes, workers' comp, and other HR and finance functions.
  • Process all outgoing payments to vendors and contractors, domestic and abroad, and tag transactions accordingly in the finance platform.
  • Oversee the day-to-day budget, anticipate weekly, monthly, quarterly, and annual needs, and work closely with the CEO to adjust course as needed.
  • Book and manage travel for talent and crew for shoots.
  • Work closely with the publicist to plan dinners and press days.
  • Coordinate gifting around launches.
  • Manage the brand's inventory, including inventory counts, archives, sample management, dressing, and gifting.
  • Remotely oversee the fulfillment center team in downtown Los Angeles.
  • Manage incoming partnership and collaboration requests from outside brands and retailers.
  • Manage and execute the social media calendar.
  • Manage the e-commerce platform, including pulling financial and SKU-level reports and updating website copy and code.

Personal Support to the Principals

  • Manage the entrepreneur's personal scheduling and appointments.
  • Provide day-to-day EA/PA calendar support for the brand founder; this side of the role is not overly complex.
  • Stay responsive across Slack, email, and text, and move quickly on requests as they come in.
  • Support general household coordination and vendor relationships as needed, drawing on a home environment background.
  • Maintain personal health records for the family.
  • Assist with management of household staff members.
  • Manage mail as needed.

REQUIREMENTS

  • EA/PA experience with a strong operations component; a home environment or private household background is essential.
  • No regular travel required. Occasional visits to Montecito as needed; the role is largely remote.
  • Comfortable managing multi-channel communication and moving quickly between Slack, email, and text.
  • Strong scheduling and calendar management skills.
  • High emotional intelligence; discreet, professional, and personable.
  • Holds themselves to a high standard for pace, ownership, and project follow-through.
  • Comfortable with evening responsiveness when needed; this is a private-service role, not a 9-to-5 office schedule.
  • Marketing background is a nice-to-have, not a requirement.

LOCATION

The role is based in Los Angeles, CA, and candidates must be physically based there to be considered. The principals currently split their time between Montecito and Virginia. The role is largely remote day-to-day, with occasional in-person visits to Montecito as needed. No regular travel is required.

COMPENSATION & BENEFITS

Base Salary: Up to $130k DOE

Competitive Benefits Package: 100% employer-paid for the employee

PTO: Unlimited, with manager approval

Mileage: Reimbursed for errands run on the principals' behalf
