POSITION SUMMARY
The HR Coordinator provides generalist support across the full employee lifecycle for Relatable’s global employee population, including our US, Hong Kong, UK, and Canada populations. This role is the operational backbone of the People Operations function: it manages the HR ticketing queue, owns day to day maintenance of the HR intranet, coordinates recruitment logistics, executes onboarding and offboarding tasks, assists with employee records and HRIS data, and supports project work across compliance, benefits, and employee programs.
This is a hands-on, high-volume role suited to someone who is organized, discreet with confidential information, and comfortable moving between administrative execution and project work. Supporting employees across multiple countries and time zones requires flexibility in scheduling and attention to region-specific process differences. The role offers direct exposure to generalist and international HR responsibilities and a clear path toward an HR Generalist track.
KEY RESPONSIBILITIES
Recruitment Support
- Coordinate interview scheduling across candidates, hiring managers, and interview panels, including rescheduling and logistics for onsite and virtual interviews.
- Maintain requisition and candidate data in the applicant tracking system, ensuring pipeline stages, dispositions, and notes are accurate and current.
- Post and refresh job openings on the careers site and external job boards, confirming that posted pay ranges meet NYC and other applicable pay transparency requirements.
- Conduct initial resume review and phone screens for high-volume and entry-level roles as assigned.
- Manage the offer process administratively: generate offer letters, and track acceptance and start dates.
- Assist with tracking of recruiting metrics such as time to fill, source of hire, and pipeline volume, and prepares recurring status reporting for the VP, People Operations.
- Coordinate interviews and hiring logistics across international time zones for roles based outside the US.
Onboarding and Offboarding
- Assist with the pre-boarding experience: new hire paperwork, I-9 and E-Verify completion, PEO and payroll enrollment
- Coordinate day one logistics with IT, Facilities, and hiring managers, including equipment, system access, workspace setup, and building access.
- Facilitate new hire orientation sessions and maintain the orientation content and onboarding checklists.
- Schedule and track 30, 60, and 90 day check-ins, and escalate ramp-up or performance concerns to the appropriate HR partner.
- Assist with executing offboarding: exit paperwork, final pay coordination, benefits termination notices, system deprovisioning, equipment return, and exit interview scheduling.
- Adapt onboarding and offboarding SOPS to country-specific requirements, and coordinate with local providers, employers of record, and regional leads for non-US hires and exits.
HR Ticketing System and Intranet Management
- Serve as first-line owner of the HR ticketing queue, triaging incoming employee requests and routing them to the correct team member or vendor.
- Resolve tier one inquiries directly, including questions on policy, PTO, payroll timing, benefits enrollment, verifications of employment, and system access.
- Monitor response and resolution times against service level targets, and flag aging or escalated tickets.
- Identify recurring ticket themes and recommend knowledge base articles, FAQ updates, or process changes that reduce inbound volume.
- Maintain ticket documentation standards so that every request has a clear record of intake, action taken, and resolution.
- Route region-specific inquiries to the correct local resource, and account for time zone coverage when setting response expectations for employees outside the US.
- Own day to day maintenance of the HR intranet, keeping policies, forms, benefits summaries, holiday calendars, org charts, and process guides current and version controlled.
- Publish HR announcements and updates to the intranet, including open enrollment, policy changes, compliance notices, and new manager resources.
- Maintain country-specific content on the intranet so that employees in each location can access the policies and forms that apply to them.
- Audit intranet content on a recurring schedule, archive outdated material, and partner with IT on site structure, permissions, and search functionality.
HR Operations and Compliance
- Support maintaining accurate employee records and HRIS data, processing new hires, status changes, transfers, compensation changes, and terminations.
- Support benefits administration, including open enrollment logistics, enrollment questions, qualifying life event processing, and carrier follow-up.
- Support payroll cycles in partnership with Finance by preparing and verifying change data ahead of each processing deadline.
- Maintain personnel files and I-9 documentation in compliance with federal, state, and local retention requirements.
- Assist with required compliance activities including labor law posting updates, mandatory training assignment and tracking, and EEO and other regulatory reporting inputs.
- Support multi-country HR administration, including local documentation requirements, statutory leave and holiday tracking, and coordination with regional payroll and benefits contacts.
Employee Programs and Ad Hoc Projects
- Support performance review and engagement survey cycles through system setup, communications, participation tracking, and reporting.
- Assist with employee engagement programming, including recognition, milestone acknowledgment, and company events and culture initiatives.
- Assist drafting and maintaining People Operations documentation such as process guides, templates, org charts, and internal communications.
- Contribute to project work across policy development, handbook updates, HRIS or ticketing system implementation, acquisition integration, and process improvement.
- Prepare data pulls, headcount reporting, and ad hoc analysis to support workforce planning conversations.
QUALIFICATIONS
- 1 to 3 years of experience in an HR coordinator, HR assistant, recruiting coordinator, or comparable administrative role.
- Bachelor’s degree, or equivalent practical experience in a human resources function.
- Demonstrated ability to manage high-volume administrative workflows with accuracy and follow-through.
- Sound judgment in handling confidential employee information and sensitive situations.
- Strong written and verbal communication skills, with the ability to explain policy and process clearly to employees at all levels.
- Comfort learning and operating HR systems such as an HRIS, PEO platform, ATS, and ticketing or service desk tool.
- Ability to prioritize competing requests and manage multiple deadlines with limited daily direction.
- Availability to accommodate occasional early or late meetings to support colleagues in other time zones.
PREFERRED QUALIFICATIONS
- Proficiency in Excel or Google Sheets, including sorting, filtering, lookups, and pivot tables.
- Experience supporting a PEO relationship, ideally Insperity or a comparable provider.
- Experience in a consumer products, retail, or high-growth environment.
- Experience supporting employees in more than one country, or exposure to international HR administration.
- Exposure to multi-state or multi-jurisdiction employment compliance.
- Familiarity with an HR ticketing or case management platform.
- Experience maintaining an intranet, knowledge base, wiki, or comparable internal content platform.
- Working knowledge of New York State and New York City employment requirements.

The Legal bits
The salary range for this role is $29.00 - $34.00 hourly, plus eligible for an annual target bonus prorated from the start date. This is the lowest to highest salary we in good faith, believe we would pay for this role at the time of this posting. An employee’s pay position within the wage range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, sales or revenue-based metrics, and business or organizational needs. This compensation range may also be modified in the future.
