The Office Assistant will serve as a central resource for day-to-day operations of a fast-paced Berkeley office, creating an organized and welcoming environment for employees, new hires, visitors, and business partners. Working onsite daily on a part-time contract basis, the Office Assistant will manage facilities needs, office vendors, onboarding logistics, events, purchasing activities, and administrative projects while supporting a team involved in renewable energy project development.
Responsibilities
- Serve as the primary office contact for building management, vendors, visitors, and facilities-related communications.
- Greet visitors and coordinate their connection with appropriate office personnel.
- Serve as the office safety point of contact and communicate relevant updates to employees.
- Monitor and order office, kitchen, and break room supplies.
- Submit work orders and coordinate repairs for office facilities and equipment.
- Coordinate with IT to troubleshoot basic AV, phone, Wi-Fi, and other technical issues.
- Support new hire onboarding, including scheduling activities, coordinating office and systems access, and preparing for first-day needs.
- Manage conference room and community space schedules, shared calendars, and Outlook distribution lists.
- Coordinate office events, celebrations, lunches, and holiday activities.
- Manage incoming and outgoing mail, packages, and special mailings.
- Process invoices and purchase orders for office vendors and development-related activities.
- Coordinate vendor onboarding and setup requests and maintain vendor relationships.
- Support project coordination, data entry, corporate reporting, compliance activities, and future office space projects.
- Perform additional administrative and operational projects as business needs evolve.
Qualifications
- High school diploma or GED required; associate or bachelor's degree preferred.
- At least 1 year of experience working in an office environment.
- Proficiency with Microsoft Office applications, including SharePoint and Outlook.
- Experience coordinating office operations, facilities, vendors, or administrative activities.
- Experience supporting employee onboarding processes preferred.
- Experience with event planning and office events.
- Ability to troubleshoot basic office technology and IT issues.
- Experience with invoice and purchase order processing preferred.
- Notary experience or active notary commission is a plus.
- Interest in renewable energy and project development environments.
- Ability to work onsite in Berkeley, CA for approximately 20 hours per week.
