Supplier Management Sr. Specialist
Location: San Francisco, CA
Duration: 6-12 months with potential for conversion to FTE
About the Opportunity
We’re partnering with one of the world’s most innovative and rapidly growing AI companies to find a Supplier Management Sr. Specialist to join its Procurement organization. This is a hands-on opportunity for someone who thrives in operational environments, enjoys solving problems, and wants to play a key role in building scalable processes at a company shaping the future of AI.
In this role, you’ll own the end-to-end supplier onboarding and activation process, ensuring new suppliers are set up accurately, efficiently, and in compliance with procurement, finance, tax, and banking requirements.
What You’ll Do
- Own day-to-day supplier onboarding and activation in Zip, from initial request through completion.
- Review onboarding requests for completeness, accuracy, approvals, and policy compliance.
- Collect and validate critical supplier information, including legal entity details, tax IDs, banking information, payment terms, and supporting documentation.
- Work directly with suppliers to gather missing information, clarify discrepancies, and guide them through onboarding requirements.
- Identify and resolve duplicate records, conflicting information, incomplete submissions, and other onboarding issues.
- Validate supplier tax documentation and banking information while following established controls and fraud-prevention procedures.
- Track onboarding requests, proactively manage aging items, and help remove bottlenecks that could delay supplier activation.
- Partner cross-functionally with Procurement, Accounts Payable, Tax, Accounting, Legal, Security/TPRM, and business stakeholders to resolve complex onboarding issues.
- Maintain accurate supplier master data and documentation to support payments, reporting, compliance, and audit readiness.
- Identify recurring issues and opportunities to improve onboarding workflows, data quality, and operational efficiency.
- Leverage AI tools and emerging technologies to reduce manual work, improve analysis and documentation, and create scalable operational efficiencies.
- Support the development and enablement of agentic workflows as processes and systems evolve.
What We’re Looking For
- 4–6+ years of experience in supplier management, supplier onboarding, procurement operations, accounts payable, or related procure-to-pay functions.
- Hands-on experience onboarding suppliers and maintaining supplier master data in Zip or a comparable procurement, ERP, or supplier management platform.
- Strong understanding of supplier setup requirements, including tax information, banking details, payment terms, and supporting documentation.
- Experience working directly with external suppliers to resolve missing information, discrepancies, and onboarding delays.
- Demonstrated ability to use AI tools to improve processes, reduce manual effort, strengthen analysis, and increase operational efficiency.
- Familiarity with internal controls surrounding supplier activation, sensitive data, and banking verification.
- Exceptional attention to detail and sound judgment when handling sensitive supplier information.
- Ability to independently manage a high volume of operational requests while maintaining accuracy and responsiveness.
- Strong written and verbal communication skills with the ability to clearly explain requirements to both internal and external stakeholders.
- Strong cross-functional collaboration skills.
Preferred Experience
- Direct experience using Zip for supplier onboarding.
- Familiarity with Oracle Fusion.
- Experience with procurement and finance platforms such as Coupa, SAP, Ironclad, or similar systems.
- Experience reviewing W-9s, W-8s, or comparable supplier tax documentation.
- Exposure to supplier banking verification, payment fraud prevention, or supplier master data controls.
- Experience working in shared-services or business process outsourcing environments.
- Experience in high-growth, highly controlled, or audit-ready organizations.
