The Role
As a Production Manager, you will lead the launch and day-to-day production operations of Octacom’s new scanning facility in Niles, IL, operated by our DCM business unit. You will oversee the Prep and Scan teams, ensuring inbound mail is processed accurately and efficiently. You will play a key role in building and scaling the team as the facility ramps up and will work cross-functionally with Operations Managers and Production Supervisors at Octacom’s other locations to align on best practices and production standards.
This is an onsite role working Monday to Friday in our Niles, IL. facility. As this is a newly established site, the team will start small and is expected to scale quickly, so flexibility to support evolving staffing and shift needs will be important.
Key Responsibilities
- Oversee daily production operations for the Prep and Scan teams at the Niles, IL facility, ensuring throughput, quality, and turnaround time targets are met
- Manage inbound mail deliveries, ensuring courier deliveries from USPS PO Boxes are received, logged, and processed on schedule
- Supervise the Prep team’s use of automatic mail opener machines, ensuring envelopes are opened correctly and all insert cards are removed and accounted for
- Supervise the Scan team’s use of Kodak scanning equipment to scan prepped envelopes and cards accurately and efficiently
- Recruit, hire, train, and develop production staff as the facility scales from a small startup team to a full production operation
- Monitor daily production volumes and quality, providing coaching and feedback to staff to meet performance benchmarks
- Ensure adherence to all standard operating procedures, work instructions, and Octacom’s privacy, confidentiality, and security policies
- Maintain accurate inventory of prep and scan supplies and equipment, and coordinate with Kodak and other vendors for maintenance and service calls as needed
- Act as the primary point of contact for facility operations, escalating issues to the VP, Operations as required
- Collaborate cross-functionally with Operations Managers and Production Supervisors at other Octacom/DCM locations to share best practices and maintain consistent production standards
- Ensure workplace health and safety standards are upheld at all times
- Support the setup and continuous improvement of the new facility, including workflows, staffing plans, and production processes as the site scales
- Act as the on-site lead for basic technical troubleshooting, working remotely with Octacom’s IT team to resolve scanner, network, or system issues as they arise
Skills & Experiences
- College or University degree or equivalent, paired with 5+ years of experience in a production supervisory or management role, ideally within a document imaging, scanning, or service bureau environment
- Experience managing mail processing, document prep, or scanning operations strongly preferred, but not required
- Strong people management skills, with the ability to recruit, train, and motivate a growing team
- Excellent organizational and prioritization skills, with the ability to manage multiple priorities in a fast-paced production environment
- Strong written and verbal communication skills
- Comfortable working in a startup-like environment, building processes and a team from the ground up
- Familiarity with Kodak scanning equipment considered an asset

Compensation
$70,000 - $90,000 USD annually
The compensation range listed reflects the expected compensation for the role. Actual compensation will be determined based on individual skills and experience.
