Responsibilities Of The Programs Administrative Coordinator
- Leadership Support:
- Manage and coordinate program leadership calendars, meetings, and events.
- Represent leadership with professionalism and diplomacy in internal and external communications.
- Welcome visitors and manage inquiries in person, by email, and virtually.
- Prepare agendas, documents, packets, and correspondence.
- Support recruitment, selection, and placement of interns.
- Coordinate and maintain vendor/partner agreements (MOUs).
- Set up and coordinate internal and external meetings.
- Data & Contract Support:
- Prepare quarterly board reports and monthly committee updates.
- Support contract coordination and deliverables reporting.
- Assist with special projects.
- Create and modify presentations, spreadsheets, and other documents.
- Clinical/Program Operations Support:
- Support scheduling of intake appointments and reminders.
- Maintain accurate records and dashboards.
- Coordinate logistics for community events (e.g., health fairs).
- Manage scheduling of meeting spaces and shared equipment.
- Oversee office/program supply inventory and ordering.
- Assist with billing support, including insurance verification and documentation.
- Maintain community and inter-agency relationships supporting outreach.
- 2 - 4 years of relevant administrative experience in a fast-paced environment.
- Excellent communication, writing, and editing skills
- Strong proficiency in Microsoft Office Suite and Adobe Acrobat.
- Highly organized with strong attention to detail and ability to multitask.
- Self-starter who can work independently with sound judgment and discretion.
- Comfortable handling confidential information.
- Schedule flexibility to adapt to real-time changes.
- Demonstrated ability to work effectively with diverse populations in a multicultural environment.
- Experience supporting an executive is strongly preferred.
- English/Spanish bilingual is preferred.
- Strong interest in social services, community health, or nonprofit administration is a plus.
- Bachelor's degree is preferred, or equivalent professional experience.
