Professional Search Group is looking for a Sales Order Specialist to support the day-to-day processing and administration of customer orders. This person will work closely with Sales, Customer Service, Purchasing, Shipping, and other internal teams to ensure orders are entered accurately, tracked through completion, and delivered on time.


The ideal candidate has experience with B2B order processing, customer service, inventory, and ERP/database systems, with SAP experience strongly preferred.


What You'll Do

  • Process and maintain customer sales orders, quotes, and order changes
  • Respond to order status questions, expedite requests, and customer inquiries
  • Track open orders and identify delivery issues or discrepancies
  • Research and resolve orders or deliveries that were not processed as expected
  • Process delivery delay notifications and communicate changes to customers and internal teams
  • Coordinate international orders and ensure shipping and tax information is accurate
  • Process intercompany transfer orders and maintain related documentation
  • Enter and update orders, credits, debits, re-bills, and other order-related transactions
  • Work with Sales, Purchasing, Shipping, and other departments to resolve order issues
  • Review inventory and stock requirements when expediting or fulfilling orders
  • Prepare purchase requisitions for production and office supplies
  • Assist with inventory count updates
  • Run database reports and research information related to invoices, back orders, customer credits, and change orders
  • Maintain accurate customer orders, invoices, quotations, and supporting documentation
  • Prepare weekly reports and sales-related documents


What We're Looking For

Required:

  • High school diploma or GED
  • Approximately 4 years of experience in sales order processing, order administration, B2B customer service, or a similar role
  • Experience working with inventory control systems and database reports
  • Strong attention to detail and accuracy
  • Ability to research issues, identify problems, and determine solutions
  • Strong organizational and prioritization skills
  • Comfortable communicating with customers, Sales, and internal departments
  • Strong written and verbal English communication skills


Preferred:

  • SAP experience
  • Experience with Salesforce
  • Experience with purchasing processes
  • Knowledge of inventory management and stock requirements
  • Experience reading purchase orders and supply agreements
  • Background working with manufactured products or technical products/instrumentation
