A leading investment firm*, with an office in New York City, is seeking an experienced and professional Executive Assistant to provide support to senior-level professionals. This is an excellent opportunity for a proactive, organized EA who thrives in a fast-paced environment and is comfortable managing constantly changing priorities.


The ideal candidate is a true self-starter with excellent judgment, strong attention to detail, and the ability to anticipate needs and stay several steps ahead. This individual will work closely with senior executives while also collaborating with a broader administrative team.


Responsibilities

  • Manage complex and frequently changing calendars, including coordination of internal and external meetings
  • Coordinate detailed domestic and international travel arrangements and itineraries
  • Manage a high volume of business expenses and prepare expense reports
  • Coordinate meeting logistics, conference calls, and occasional events
  • Serve as a key point of contact for internal and external stakeholders
  • Anticipate scheduling conflicts, shifting priorities, and other needs before they arise
  • Partner closely with other Executive Assistants and provide backup coverage as needed
  • Handle highly confidential and sensitive information with discretion
  • Assist with occasional personal travel, reservations, mailings, and other requests as needed


Qualifications

  • 5+ years of Executive Assistant or senior-level administrative support experience in a corporate environment
  • Experience within financial services, investment management, professional services, or another fast-paced environment strongly preferred
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple competing priorities and work effectively in a fast-moving, real-time environment
  • Proactive, resourceful, and solutions-oriented with a strong sense of ownership and follow-through
  • Excellent written and verbal communication skills
  • Polished and professional with the ability to interact comfortably with executives and individuals at all levels
  • Strong judgment and discretion when handling confidential information
  • Advanced proficiency with Microsoft Outlook and strong overall Microsoft Office skills
  • Collaborative, flexible, and willing to jump in wherever needed
  • Bachelor’s degree preferred


Compensation

$100,000–$115,000 base salary**, plus additional compensation and benefits.
