Overview:

The Part-Time Receptionist is the first and last point of contact for our guests and plays an essential role in creating an exceptional spa experience. This position is responsible for providing warm, professional service while supporting the smooth and efficient operation of the front desk.


Key Responsibilities

  • Welcome and warmly greet all guests upon arrival.
  • Manage appointments, reservations, cancellations, and scheduling changes.
  • Answer phone calls, emails, and guest inquiries promptly and professionally.
  • Process payments and maintain accurate transaction records.
  • Maintain knowledge of spa treatments, services, products, policies, and promotions.
  • Coordinate effectively with therapists and management to ensure smooth daily operations.
  • Maintain accurate client information and records.
  • Support opening and closing procedures.
  • Keep the reception area clean, organized, and welcoming.
  • Assist with retail and product sales when applicable.
  • Handle guest questions and concerns professionally and escalate issues when appropriate.
  • Support administrative and operational tasks as assigned.


Client Experience

  • Create a warm, welcoming, and personalized experience for every guest.
  • Anticipate guest needs and provide thoughtful, attentive service.
  • Communicate clearly and professionally with clients in person, by phone, and in writing.
  • Support client retention by creating positive and memorable interactions.
  • Maintain confidentiality and professionalism when handling client information.


Team & Operations

  • Work closely with therapists, the Assistant Spa Manager, and Spa Manager.
  • Maintain accurate appointment and scheduling information.
  • Ensure the front desk is organized and operating efficiently.
  • Follow all spa policies, procedures, and service standards.
  • Communicate schedule changes and operational issues promptly.
  • Support the team during busy periods and contribute to a positive working environment.


Qualifications & Experience

  • Previous experience in reception, hospitality, luxury retail, wellness, spa, or another client-facing environment preferred.
  • Excellent customer service and communication skills.
  • Warm, polished, and professional demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Comfortable learning scheduling, POS, and other computer systems.
  • Reliable and punctual.
  • Ability to work a flexible part-time schedule, including evenings and weekends as required.
