We’re partnering with a highly regarded California law firm to identify an experienced Legal Secretary to join its team. This is an excellent opportunity for a polished, proactive legal professional who enjoys providing high-level attorney and client support in a collaborative, sophisticated law firm environment.
The ideal candidate will have strong law firm experience, excellent document production skills, and the ability to confidently manage a busy desk while delivering exceptional client service.
Responsibilities
- Provide comprehensive administrative and legal support to assigned attorneys and other timekeepers
- Draft, edit, proofread, format, and finalize legal documents, correspondence, and redlines
- Assist with transactional closings, including signature packets, signature pages, document finalization, organization, and distribution
- Prepare closing binders and indexes
- Prepare, file, and order corporate documentation
- Coordinate meetings, appointments, travel, and attorney calendars
- Maintain attorney files, client information, and contact lists
- Assist with new client and matter intake in accordance with conflicts procedures
- Prepare expense reports and timesheets
- Assist attorneys with billing, collections, and invoice correspondence
- Maintain a high level of professional communication and service with clients
- Collaborate closely with other legal secretaries and departments to provide seamless attorney support
- Provide mentorship and peer support to junior and newly hired team members as needed
- Maintain a notary commission and perform notarial acts for firm business as requested
Qualifications
- 3–5+ years of law firm experience strongly preferred
- High school diploma or equivalent required; college degree strongly preferred
- Strong legal document formatting, proofreading, and word processing skillsleg
- Ability to handle complex document markups and troubleshoot documents quickly and accurately
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
- Excellent written, verbal, grammar, and interpersonal skills
- Advanced proficiency with Microsoft Word, Excel, Adobe, and DocuSign
- Experience with legal billing/time-entry and workflow software preferred
- Typing speed of approximately 70 WPM with a high degree of accuracy
- Strong technology skills and ability to quickly learn new systems
- Proactive, flexible, detail-oriented, and highly service-minded approach
- Ability to work core business hours with flexibility for overtime when needed
