THE ROLE
This Executive Assistant & Office Manager role will provide high-level support to senior investment and business leaders while serving as the operational hub of the New York office. The position combines executive support, office management, workplace experience, event coordination, vendor management, and employee engagement responsibilities. As the sole administrative professional in the office, this individual will be a trusted partner to leadership and a key contributor to office culture.
RESPONSIBILITIES
- Provide high-level executive support to senior leaders and investment professionals
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders and time zones
- Coordinate domestic and international travel, including detailed itineraries and logistics
- Oversee day-to-day office operations and facilities management
- Serve as the primary point of contact for vendors, service providers, and building management
- Manage visitor experience and front-of-house responsibilities
- Support onboarding and employee experience initiatives
- Plan and coordinate team events, office gatherings, and culture-building activities
- Process invoices, purchase orders, and administrative operational expenses
- Manage office supplies, inventory, and workplace resources
- Partner with colleagues across global offices to ensure seamless coordination
- Act as a trusted resource for employees and help foster a positive office environment
THE CANDIDATE
- 7+ years of Executive Assistant and/or Office Manager experience
- Experience supporting senior executives, partners, or C-suite leaders
- Strong calendar management and complex scheduling experience
- Experience coordinating domestic and international travel
- Prior office management, workplace, or facilities experience
- Financial services, investment management, private equity, asset management, infrastructure, or professional services experience preferred
- Ability to manage multiple priorities in a fast-paced environment
- Strong judgment, discretion, and professionalism
- Excellent communication and relationship-building skills
- Proactive, resourceful, and comfortable working independently
- Advanced Microsoft Office skills and exceptional attention to detail
