AP/AR Specialist

Location: Palo Alto, CA (Hybrid)

We're partnered with a venture-backed clean tech firm in the Bay Area that is working at the cutting edge of renewable energy and data centres.

We're seeking an AP/AR Specialist to join the team in Palo Alto. This is a hands-on, detail-intensive role in the accounting function, responsible for accurate vendor payments and contract-driven customer invoicing across a rapidly growing organization.

Key Responsibilities:

Accounts Payable

• Own the full AP cycle: vendor onboarding, invoice coding, PO matching, approvals, and payment runs (ACH, wire, check).
• Process high-dollar equipment invoices, matching against POs and receiving records to resolve discrepancies.
• Manage landlord, contractor, and lessor payments, including milestone-based and pass-through charges.
• Administer the corporate card/spend program and enforce payment fraud controls.
• Own W-9 collection and annual 1099 filings.

Accounts Receivable

• Own customer invoicing end to end, translating contract terms into accurate, on-time invoices.
• Calculate service credits per contract mechanics, coordinating with engineering/ops on supporting data.
• Track prepayments and deposits, ensuring drawdowns and true-ups match contract terms.
• Run collections and AR aging, with clean cash application.
• Support the Controller on billing schedules and revenue recognition workpapers.

Ideal Qualifications

• Full-cycle AP and AR experience, ideally as an early finance hire at a startup.
• Comfort reading commercial contracts and translating terms into billing and payment actions.
• Fluency in an ERP/GL system (QuickBooks, NetSuite, or similar) plus spend management tools.
• Strong Excel skills: lookups, pivot tables, reconciliations.
• Bias to build: you've created or improved AP/AR processes, not just inherited them.
