WalterLane is pleased to be leading a search for an Executive Assistant / Office Manager to support the CEO and Founder of a growing commercial real estate company.


Working closely with the CEO, you will have the opportunity to learn all facets of the commercial real estate business while taking on meaningful administrative, operational, and project coordination responsibilities. This is an ideal opportunity for someone with a bachelor’s degree, 2+ years of professional experience, and a genuine interest in commercial real estate who is looking for a role where they can learn, contribute, and grow.


Compensation: $75,000–$90,000 base salary, plus bonus and competitive benefits. Fully in-office.


ABOUT THE ROLE

  • Provide administrative support to the CEO, including scheduling and travel arrangements (not extensive travel).
  • Serve as a primary point of contact for external consultants, vendors, and partner organizations; coordinate meetings, track deadlines, and monitor open projects on behalf of ownership.
  • Coordinate projects and follow up with key stakeholders to ensure priorities, deliverables, and deadlines remain on track.
  • Investor relations and liaison between the CEO and property management teams, investors, and financial institutions.
  • Prepare meeting materials, presentations, reports, and other documents; draft, proofread, and edit correspondence as needed.
  • Maintain corporate books and records for multiple entities and track important deadlines related to property taxes, insurance, corporate filings, and other compliance matters.
  • Prepare and track expense reports and assist with property management and other operational reporting.
  • Provide day-to-day office and operational support.
  • Conduct research on properties, tenants, markets, and other real estate-related topics.
  • Work with property management and accounting systems, including Yardi and QuickBooks.
  • Maintain organized digital filing systems and ensure important documents and records are easily accessible.
  • Assist with special projects and other business initiatives as needed.


ABOUT YOU

  • Bachelor’s degree required.
  • 2+ years of relevant professional experience; experience in commercial real estate, finance, or a related field is preferred.
  • Genuine interest in commercial real estate and enthusiasm for learning the business.
  • Tech-savvy with strong proficiency in Microsoft Office; experience with QuickBooks or comparable accounting software is a plus.
  • Experience managing scheduling, and other administrative responsibilities for executives.
  • Highly organized, detail-oriented, and able to effectively manage multiple priorities and deadlines.
  • Self-starter who takes initiative and is comfortable handling both routine responsibilities and larger projects.
  • Strong written and verbal communication skills with the ability to interact professionally with a wide range of people.
  • Strong research, analytical, and problem-solving skills.
  • Resourceful, adaptable, and comfortable working in a fast-paced, entrepreneurial environment.
  • Demonstrates sound judgment, discretion, and a high level of professionalism.
  • Calm, positive, and collaborative approach with the ability to anticipate needs and follow through.
