Full job description
We are seeking an organized, proactive Events Coordinator to support the planning and execution of internal and external events while providing day-to-day administrative and operational support. This role is ideal for someone who is highly organized, personable, and comfortable managing multiple priorities in a fast-paced professional environment.
Responsibilities
- Coordinate logistics for meetings, conferences, client events, team events, and other company functions.
- Manage event calendars, scheduling, invitations, RSVPs, and attendee communications.
- Coordinate with venues, caterers, vendors, and other external partners.
- Assist with event setup and breakdown, including conference rooms, signage, materials, catering, and technology.
- Maintain event-related documents, schedules, contact lists, and expense records.
- Provide administrative support including calendar management, meeting coordination, data entry, document preparation, and general office support.
- Prepare and distribute event materials, agendas, presentations, and correspondence.
- Track event expenses, invoices, receipts, and vendor documentation.
- Serve as a point of contact for employees, guests, vendors, and event attendees.
- Assist with special projects and other administrative needs as assigned.
Qualifications
- 1–3 years of experience in event coordination, administrative support, hospitality, office operations, or a related role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Strong attention to detail and follow-through.
- Professional and polished when interacting with employees, clients, guests, and vendors.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Comfortable working both independently and collaboratively.
- Flexible and willing to assist with a variety of event and administrative responsibilities.
