Full job description
Our client is a real estate developer seeking a polished, proactive Executive Assistant to provide high-level support to a senior executive while also assisting with day-to-day office operations. This is a fully onsite role suited for someone who is highly organized, personable, adaptable, and comfortable working in a fast-paced environment.
Responsibilities
- Manage a complex and frequently changing executive calendar, including meetings, calls, and appointments
- Provide front-of-house support (sitting at reception) including greeting visitors, answering phones, coordinating conference rooms, and arranging catering and refreshments
- Handle occasional personal support, including meal orders, gifts, restaurant reservations, and other requests
- Coordinate domestic and international travel, including flights, accommodations, and itineraries
- Serve as a point of contact for building management, vendors, and external service providers
- Assist with office projects, maintenance, supplies, and general workplace needs
- Prepare expense and travel reimbursement reports
- Support company events and special projects as needed
- Maintain organized files, records, and reference materials
- Anticipate executive needs and provide thoughtful, high-touch support
Qualifications
- Bachelor’s degree required
- 3–5+ years of administrative or executive support experience; more experienced candidates are also encouraged to apply
- Strong proficiency in Microsoft Outlook, Excel, PowerPoint, and Word
- Excellent calendar management, organizational, and communication skills
- Polished and professional when interacting with executives, clients, and visitors
- Outgoing, engaging, and service-oriented personality
- Strong attention to detail and ability to manage changing priorities
- Patient, positive, proactive, and willing to go above and beyond
This is a full-time, fully onsite opportunity in New York City with standard business hours and some availability via phone or email outside of regular hours.
