Position Overview

Diamond Properties is seeking a Director of Property Management (DPM) to lead the company’s growing team of Property Managers across a commercial real estate portfolio that includes industrial, retail, office, and mixed-use properties.


This role is a key management position and exists to strengthen property-level ownership. Property Managers at Diamond Properties are expected to act as the owner’s representative for their assigned buildings, balancing tenant satisfaction, property condition, and financial performance. The Director of Property Management will ensure PMs understand their buildings, own their budgets and forecasts, maintain strong tenant relationships, coordinate effectively across departments, and drive follow-through on property-level priorities. The DPM will also set the example and foster a culture of ownership, excellence, scalability, collaboration, and continuous improvement in the Operations team.


The Director of Property Management will create structure, coaching, standards, performance metrics, and escalation clarity for the PM team. This role will also support the growth of Diamond Properties by developing and maintaining written standards, routines, checklists, and expectations so the PM function can scale beyond informal relationships, memory, and heroic effort. The Director will work closely with Property Operations, Engineering, Construction, Finance, Accounting, Leasing, and senior leadership so PMs have the training, tools, information, and support needed to manage their properties effectively.


The ideal candidate is an experienced commercial property manager and leader who understands tenant service, building operations, budgets, recoveries, capital planning, vendor coordination, and cross-functional execution. The DPM should be a strong manager of people, a clear communicator, a practical problem solver, and a disciplined operator who can help a growing company scale without losing responsiveness or accountability.


This is an in-office position at our Mount Kisco headquarters, with regular travel to properties as needed (20% travel expected, most locations can be same-day turnaround). The Director of Property Management will report to the Chief Operating Officer and manage a team of direct reports (6 currently).


Responsibilities

  • Lead, manage, coach, and develop the Property Management team, setting clear expectations for property ownership, performance, communication, follow-up, and professional growth.
  • Ensure Property Managers act with a comprehensive “ownership mentality” for their assigned properties, balancing long-term tenant satisfaction, property condition, and financial performance.
  • Establish consistent Property Management policies and standards, including tenant communication, building knowledge, budget ownership, forecast updates, tenant service request follow-up, issue resolution, and escalation discipline.
  • Partner with Finance to improve PM ownership of budgets, forecasts, recoveries, operating expenses, variance explanations, capital planning, and property financial performance, including support for annual budgets, quarterly forecasts, and property reviews.
  • Develop Property Manager goals, including measurable key results. Support performance reviews and merit processes by ensuring Property Managers understand how their goals are measured and how performance connects to compensation outcomes.
  • Review PM portfolios for workload, complexity, geography, tenant count, building condition, and support needs; recommend adjustments when needed.
  • Serve as the primary management resource for Property Managers, helping them make decisions, resolve issues, clarify handoffs, improve cross-functional execution, and determine when to involve Property Operations, Engineering, Construction, Finance, Accounting, Leasing, HR, Acquisitions, or senior leadership.
  • Build and maintain a practical PM training and onboarding program covering procedures, tenant communications, budgeting, lease obligations, safety, vendor coordination, and topics coordinated with Property Engineering, Operations, and Finance.
  • Establish a regular PM meeting cadence, one-on-one structure, property review rhythm, and communication standards to improve follow-through and reduce unnecessary escalation.
  • Identify recurring Property Management issues across the portfolio and recommend improvements to process, training, staffing, systems, or structure.


Qualifications

Required:

  • 10+ years of experience in commercial property management, real estate operations, facilities management, asset management, or a related field.
  • Demonstrated experience building, stabilizing, or materially improving a property management, operations, or multi-site team, including the ability to hold staff accountable while providing practical coaching, support, and professional development.
  • Strong understanding of commercial property operations, tenant service, building condition, vendor coordination, and property-level financial performance.
  • Demonstrated knowledge of budgets, forecasts, operating expenses, recoveries, capital planning, and variance explanations.
  • Growth mindset with a bias for documenting expectations, improving processes, and building scalable operating routines.
  • Strong organizational skills and ability to manage multiple properties, people, priorities, deadlines, and cross-functional issues.
  • Practical judgment and ability to make decisions in a fast-paced, founder-led, entrepreneurial environment while maintaining clear communication channels and management discipline.
  • Comfort working with technology in both office and property environments.
  • Ability to travel to properties as needed. Properties are located across the Eastern United States, with clusters in the Midwest and Southeast. Valid driver’s license is required.


Preferred:

  • Experience with industrial, office, retail, or mixed-use commercial properties.
  • Experience managing a multi-state or geographically dispersed portfolio.
  • Experience leading effectively in an owner-managed real estate company while maintaining transparency, clear communication channels, and alignment with the company’s management structure.
  • Experience with Yardi Voyager, Forecast Manager, SharePoint, or similar property management, budgeting, work order, and document-management systems.
  • Experience developing Property Manager training programs, onboarding processes, or performance scorecards.
  • Experience with goal setting, KPIs, bonus programs, or structured performance-management systems.
  • Familiarity with building systems, preventative maintenance, tenant improvements, construction coordination, insurance, and property inspections.
  • Real estate professional certifications, such as IREM Certified Property Manager or BOMA Real Property Administrator


Salary and Benefits

Diamond Properties offers competitive compensation commensurate with experience. The expected salary range for this role is $145,000-$165,000 per year, with potential eligibility for an annual merit bonus and participation in our management property equity program. Other benefits include:
