Property Management Administrator | Real Estate Owner | Corporate Position
A well-established NYC commercial real estate owner/operator is looking to add a Property Management Administrator to its team. This is an excellent opportunity for a commercial real estate professional with 4+ years of experience at the Assistant Property Manager level who is ready to broaden their experience and transition into a corporate-level role with portfolio-wide exposure. Working directly with senior property management leadership, this person will have visibility across the entire portfolio and serve as the primary contact between property management teams and corporate leadership, coordinating information, reporting, compliance, operations, and various portfolio initiatives.
You’ll work closely with property managers, building teams, accounting, leasing, vendors, consultants, ownership and other internal stakeholders to keep operations, reporting, compliance and portfolio initiatives moving forward.
What You’ll Be Doing:
- Coordinate operational and administrative workflows across multiple commercial properties
- Support monthly, quarterly and year-end reporting, including budgets, actuals, expenses and capital expenditures
- Coordinate invoices, payroll review, utility expenses, GL coding and payment approvals
- Track NYC compliance requirements, including DOB filings, elevator inspections, energy requirements and Local Law reporting
- Monitor violations, insurance requirements, incident reports and other risk-management items
- Coordinate vendor contracts, W-9s, COIs, lien waivers and payment documentation
- Maintain organized records for properties, vendors, contracts, compliance matters and projects
- Partner with property managers and building teams to ensure deadlines and follow-ups are handled
- Support building access, utility accounts, technology/telecom and other operational needs
- Identify process gaps and help keep portfolio-wide initiatives organized and on schedule
What We’re Looking For
- 4–6 years of commercial real estate experience, ideally at the Assistant Property Manager or similar level
- Experience supporting multiple commercial properties or working across a portfolio
- Strong organizational skills and attention to detail
- Comfortable managing multiple deadlines, vendors, financial information and compliance requirements
- Strong communication skills and the ability to work with both building-level teams and corporate leadership
- Knowledge of NYC commercial real estate operations and building compliance
- Proactive, polished and collaborative approach
- Experience with Yardi, MRI or Avid is a plus, but not required
Compensation: $85k-$95k plus benefits, 401k and other perks.
