Position Overview
Diamond Properties is seeking an experienced Property Manager to manage a portfolio of commercial real estate properties, including industrial, retail, office, and mixed-use assets.
Property Managers at Diamond Properties act as the comprehensive manager of their assigned properties, exercising judgement and taking a long-term view as the “building CEO” and owner’s representative at their assigned properties. In practice, this means making tradeoffs to balance tenant satisfaction, property condition, and financial performance over many years in support of the Diamond Properties buy-and-keep strategy. This role requires strong judgment, an ownership mentality, clear communication, follow-through, and the ability to coordinate effectively across internal departments and outside vendors.
The Property Manager will be responsible for understanding their buildings, maintaining strong tenant relationships, monitoring property condition, managing operating issues, owning budgets and forecasts, coordinating vendor work, and escalating issues appropriately when additional support is needed.
The ideal candidate is a practical, organized, and service-oriented commercial real estate professional who takes ownership of outcomes, communicates clearly, and can manage multiple properties, tenants, vendors, deadlines, and priorities in a dynamic environment.
This is an in-office position at our Mount Kisco headquarters, with regular travel to assigned properties as needed. The Property Manager will report to the Director of Property Management and work closely with Property Operations, Engineering, Construction, Finance, Accounting, Leasing, and outside vendors.
Responsibilities
- Serve as the owner’s representative for assigned properties, managing each asset with a long-term ownership mentality that balances tenant satisfaction, property condition, and financial performance.
- Develop multi-year property strategies that improve asset quality, tenant experience, operational performance, and long-term value beyond the property’s immediate needs.
- Own and prepare annual property budgets for assigned properties in accordance with the multi-year plan, and partner with Property Accountants and Finance on quarterly forecasts, recoveries, operating expenses, variance explanations, accounts receivable, accounts payable, capital plans, property reviews, and overall property financial performance.
- Maintain a deep working knowledge of assigned properties, including tenants, leases, building systems, vendor relationships, operating history, recurring issues, capital needs, and long-term asset priorities.
- Build and maintain strong tenant relationships by serving as the primary point of contact for tenants and providing timely responsiveness, consistent follow-up, and practical problem-solving.
- Monitor property condition through regular property visits, inspections, tenant feedback, maintenance request review, vendor input, and coordination with Engineering, Construction, Property Operations, and field staff.
- Identify recurring issues, deferred maintenance, tenant concerns, vendor problems, operational risks, and capital needs; implement practical solutions that protect tenant satisfaction, property condition, and long-term asset value.
- Coordinate property-level execution through vendors and internal subject matter experts, while ensuring the right departments are involved for facilities maintenance, financials, leasing questions, construction projects, and recurring operational support.
- Understand lease obligations and coordinate with Leasing, Accounting, Engineering, Construction, and Property Operations to help ensure proper execution of maintenance responsibilities, tenant reimbursements, operating expense recoveries, notice requirements, landlord work, move-ins, move-outs, renewals, and tenant-impacting work.
- Use Diamond Properties’ systems and policies to ensure property issues are tracked, documented, followed up on, and escalated appropriately.
- Promote a culture of ownership, responsiveness, tenant service, long-term stewardship, accountability, teamwork, and continuous improvement.
Qualifications
Required:
- 5+ years of experience in commercial property management, real estate operations, facilities management, asset management, or a related field.
- Ownership mentality of assigned properties to make trade-offs between tenant satisfaction, property condition, and financial performance.
- Strong understanding of commercial property operations, tenant service, maintenance coordination, vendor management, and property-level follow-through.
- Experience preparing or supporting annual property budgets, forecasts, variance explanations, operating expense reviews, recoveries, or other property financial analysis.
- Strong communication skills and ability to work effectively with tenants, vendors, Property Operations, Engineering, Construction, Finance, Accounting, Leasing, and senior leadership.
- Practical judgment and ability to prioritize issues, make recommendations, resolve problems, and know when to escalate.
- Strong organizational skills and ability to manage multiple properties, tenants, vendors, projects, deadlines, and priorities.
- Comfort learning and using technology including property management, budgeting, work order, reporting, and document-management systems.
- Ability to travel regularly to assigned properties. Valid driver’s license required.
Preferred:
· Experience with industrial, office, retail, or mixed-use commercial properties.
· Experience managing multiple properties or a geographically dispersed portfolio.
· Experience in an owner-managed real estate company or long-term-hold real estate environment.
· Experience with Yardi Voyager, Forecast Manager, SharePoint, or similar property management, budgeting, work order, and document-management systems.
· Familiarity with building systems, preventative maintenance, tenant improvements, construction coordination, insurance / COIs, property inspections, and safety procedures.
· Experience reviewing leases, operating expense recoveries, tenant reimbursement obligations, maintenance responsibilities, and landlord work obligations.
· BOMA RPA, IREM CPM, FMA, or other relevant professional certification.
Salary and Benefits
Diamond Properties offers competitive compensation commensurate with experience. The expected salary range for this role is $85,000 - $100,000 per year, plus a substantial annual merit bonus including an equity ownership plan. Benefits include:
