Your new role

As a Property Coordinator, you will support the Property Manager in the day-to-day management of a portfolio of retail shopping centers. This role is heavily focused on property administration, tenant and vendor relations, service request management, and operational support. You will play a key role in ensuring properties operate efficiently while delivering best-in-class service to tenants and vendors.


Key Responsibilities:

  • Support the Property Manager with daily operations across a portfolio of retail properties
  • Collect vendor bids and prepare contracts for repairs, maintenance, and capital improvement projects
  • Review, code, and process vendor invoices and job cost documentation
  • Coordinate vendor services, property maintenance, and annual inspections
  • Manage utility account openings, closings, and related documentation
  • Assist with vacancy cleanouts, vacancy profiles, and property transition activities
  • Support the preparation and maintenance of emergency response plans for properties
  • Assist with annual budget preparation and expense tracking
  • Coordinate travel arrangements and expense reports
  • Review and respond to service requests through the company's customer service platform
  • Issue work orders and follow up with vendors to ensure timely completion
  • Maintain accurate property records and administrative documentation
  • Build and maintain strong relationships with tenants through verbal and written communication
  • Partner with vendors and internal teams to ensure operational excellence across the portfolio


What you'll need to succeed

  • Background in retail commercial real estate
  • Minimum of 2 years of experience in a fast-paced corporate environment
  • Prior administrative or property administration experience
  • Strong organizational skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Access
  • Bachelor's degree or equivalent combination of education and work experience
  • Excellent verbal and written communication skills
  • Strong customer service and relationship management abilities
  • Detail-oriented with the ability to follow through on multiple projects and deadlines
  • Technology-forward mindset with an interest in leveraging AI and emerging technologies to improve efficiency
  • Ability to work collaboratively in a team environment while managing responsibilities independently
